OverviewDuring the summer conference season, the Office of Conference Services (OCS) coordinates with outside organizations to host events and programs on campus. These rentals include performances, conferences, athletic programs, film productions, social events, and both day and residential camps.
OCS is responsible for planning logistics, organizing set-ups, and coordinating with internal departments while providing exceptional customer service. The office ensures effective communication between clients and campus partners in a timely manner. The goal is to ensure that all clients are satisfied with their experience at Iona while protecting the interests of the University.
Position DescriptionThe Senior Summer Conference Assistant's (Senior SCA) work schedule is dependent on the demand for campus and residence hall facilities. This role includes limited supervisory responsibilities, assistance with special projects, and direct interaction with clients. This is a part-time, temporary position.
There will be periods of increased activity requiring special scheduling, and mandatory work dates will apply during peak program times. On-campus residency is preferred for this position.
Duties and Responsibilities - Understand, administer, and uphold OCS policies and procedures
- Complete administrative tasks as needed, including data operations, filing, copying, creating event-related documents and flyers, scanning, maintaining department logs and reports, and assisting with customer requests
- Maintain scheduled hours and assist with daily office operations
- Rotate on-call phone duty responsibilities, including customer service and troubleshooting for overnight guests
- Oversee the upkeep, organization, and inventory of OCS summer supplies, including the staging room and summer linen exchange program
- Second-shift liaison between OCS and clients, including evening and weekend programs
- Greet incoming summer groups and assist with check-in and check-out, troubleshoot issues, and provide customer support
- Supervise SCA staff during afternoon, evening, and weekend shifts, as needed
- Assist with coordinating the OCS welcome bag program for conference services guests
- Assist with facilities set-ups for conferences and programs
- Conduct site inspections in residence halls and campus buildings to ensure rooms and set-ups are completed as requested and spaces are clean and ready for guest arrivals
- Perform daily classroom and event space inspections
- Respond to client needs throughout events to assist with issue resolution
- Conduct room inspections and close out residence hall dorms after group departures
- Run errands and deliver event-related items on campus
- Perform additional duties as assigned (some light to medium lifting may be required)
Qualifications - Must be available for employment throughout the summer conference season: June 1, 2026 - August 15, 2026
- Must attend mandatory training sessions at the end of May (date TBD)
- Must have a flexible schedule and be able to work evenings and weekends as required
- Demonstrated leadership skills; responsible, punctual, and require limited supervision
- Strong critical thinking skills; proactive, enthusiastic, and dependable work ethic
- Ability to work independently and collaboratively in a team environment
- Strong computer skills, including experience with Microsoft Office
- Must agree to submit to a background check
- Experience in customer service and/or a summer program or hospitality role required
- Excellent written and verbal communication skills
- Access to sensitive information and ability to maintain a high level of confidentiality
- Must comply with all Iona University policies
- Entitled to a 30-minute unpaid break for shifts of six consecutive hours
- Expected to work a minimum of 25 hours per week
