Position Title: Senior Administrative Support
Location: Fayetteville, NC 28301
Duration: Ongoing
Work Schedule: Mon-Fri, 08:00 AM - 04:00 PM
Responsibilities for this position include, but are not limited to:
Microsoft Access - used to create a database for daily information from the scale house, input information, run monthly reports; create and input department supply inventory information.
Microsoft Outlook - used to create and to receive e-mails.
WasteWORKS - solid waste management program used at scale in houses for day-to-day operations. At admin, this program is used to input new accounts, vehicles, and create adjustment tickets to correct assistant weighmaster errors in tickets, run daily and monthly reports 10-key calculator is used daily for calculating deposit totals and for calculating totals on invoices processed.
Typewriter - used to address large envelopes, fill out preprinted forms
Records and Reports
Daily Info Database - sorts daily summary report from scale house and inputs information into daily info database, entering date, site code, material, weight, and charge/cash amount. Files daily summary report in date order for easy access if further information is needed from the reports. Prints the monthly Grid Summary report from the daily info database to reconcile against the Revenue JV compiled by the supervisor.
Daily Deposit Slips - deposit slip is done for all daily payments received, copied, and taken to the scale house for enclosure in their daily deposit bag, which is taken to the bank. Receives daily deposit slips from the scale house. Verifies deposit totals against Daily Summary Report cash/check totals. Delivers yellow deposit slips to finance.
Files
Maintains various filing systems for day-to-day operations.
Account files are numerically arranged and contain statements, tickets, payments, letters, anything dealing with a particular account.
Daily Batch Summary Reports are kept in date order. These reports contain daily information on waste brought into the landfill, such as weight, material, account, where it is from, and amount. The information is compiled, and monthly, quarterly, and annual reports are created. Daily deposit slips are matched up with the daily batch summary report and stapled together.
Public Contact
Involves assessing, interpreting, and responding to situations that may require policy exceptions.
Customers - taking invoices to finance for payment, timesheets to payroll, distribution to different departments such as Human Resources, County Manager, Legal, and the Tax Department.
County employees - provide information about hours of operation and location for the Ann Street Landfill, Wilkes Road T&P Facility, Container Sites, HHW Site; what types of material are accepted at each site; City of Fayetteville Environmental Services phone number; individuals calling in to complain about illegal dumping (complete a Complaint Form and give the completed form to Environmental Enforcement Inspectors). Searches files and/or computer databases to answer inquiries as necessary.
Telephone inquiries - accepts payments on account (write receipt).
E. Mail
Mailbox is checked daily and the incumbent processes incoming mail by sorting into type of material received: statements from businesses, magazines, junk mail, payments, etc.

• High school diploma or GED and demonstrated possession of knowledges, skills and abilities gained through at least three years of office assistant/secretarial experience; or associate's degree in business administration or related field, emphasis in accounting, accounts receivable/payable, office support supplemented by one (1) year previous experience and/or training as described above; or an equivalent combination of education, training, and experience.
