Job description

Interior Design Project Coordinator

Location: Southfield, MI (with travel to American House communities as needed)

We are seeking a highly organized and detail-oriented Interior Design Project Coordinator to support the planning, coordination, and execution of renovation and capital improvement projects across our growing portfolio of senior living communities.

This position reports to the Senior Vice President of Development and works closely with the Interior Designer to ensure projects remain organized, on schedule, and aligned with company standards. The ideal candidate enjoys managing multiple priorities, collaborating with diverse stakeholders, and driving projects forward from concept through completion.

This is primarily a project coordination role with limited design responsibilities.

What You'll DoProject Coordination & Capital Improvements
  • Support the coordination and execution of renovation, remodeling, and capital improvement (CapEx) projects across multiple senior living communities.
  • Maintain project schedules, action items, documentation, and status reports.
  • Coordinate activities between internal departments, community leadership, contractors, vendors, and procurement partners.
  • Track project scope, budgets, purchases, deliveries, invoices, and completion milestones.
  • Monitor installation activities to ensure projects align with approved specifications, timelines, and operational requirements.
  • Proactively identify and resolve project roadblocks while escalating issues as needed.
Vendor & Procurement Management
  • Serve as a key point of contact for vendors, suppliers, manufacturers, contractors, and procurement partners.
  • Obtain and organize quotes, proposals, product specifications, and supporting documentation.
  • Coordinate purchasing activities, including purchase orders, invoices, vendor payments, and FF&E procurement.
  • Manage order tracking, lead times, deliveries, and issue resolution.
  • Ensure all procurement activities are properly documented and communicated.
Community & Operations Support
  • Partner with Executive Directors, Maintenance Directors, Operations Leaders, and community teams throughout project lifecycles.
  • Coordinate project logistics including site access, scheduling, deliveries, and installation planning.
  • Communicate project status updates and upcoming activities to key stakeholders.
  • Gather community feedback and communicate operational needs to project teams.
  • Help ensure projects are completed with minimal disruption to residents and daily operations.
Reporting & Administrative Support
  • Maintain accurate project files, contracts, purchase orders, invoices, schedules, and closeout documentation.
  • Prepare project reports, budget updates, presentations, and leadership summaries.
  • Track project expenditures, commitments, and remaining budget balances.
  • Support long-term capital planning initiatives and interior improvement programs.
  • Assist in maintaining project management and reporting systems.
Interior Design Support
  • Assist with organizing furniture, fixtures, equipment (FF&E), finish selections, and related project information.
  • Coordinate implementation of approved design selections with vendors and installation teams.
  • Maintain documentation related to furnishings, finishes, and approved design standards.
  • Provide project-related design support as needed while working under the guidance of the Interior Designer.
QualificationsRequired
  • 2-4 years of experience in project coordination, project administration, interior design coordination, construction administration, purchasing, procurement, facilities management, property management, hospitality, healthcare, senior living, or a related field.
  • Strong organizational and project management skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Experience coordinating vendors, suppliers, contractors, and external partners.
  • Excellent communication, follow-up, and relationship-building skills.
  • Strong attention to detail and ability to maintain accurate project documentation.
  • Proficiency with Microsoft Office Suite, including Excel and PowerPoint.
  • Ability to travel periodically to American House communities.
Preferred
  • Experience supporting renovation, remodeling, construction, facilities, or capital improvement projects.
  • Knowledge of interior design, FF&E, furnishings, finishes, and procurement processes.
  • Experience in senior living, healthcare, hospitality, commercial real estate, multifamily housing, or related industries.
  • Associate's degree, design certificate, bachelor's degree, or equivalent combination of education and relevant experience.
