Position Summary:

Working under the general direction of the Assistant Vice-President, at any given time, the Senior Project Manager will be assigned to multiple projects that will include a subset of these duties: planning and implementation of projects, identifying issues, advising on strategy and communications options, recommending solutions, implementing project plans, and responding to the objectives and priorities of the Office of the President. Working closely with the Assistant Vice-President, as well as other senior university administrators, the Senior Project Manager is responsible for project management and implementation to ensure the work of the President's Office can be carried out efficiently and effectively.

Such project management and implementation include (a) leading full-scale initiatives from concept to implementation; (b) facilitating project work to ensure deliverables are met within the required timelines; (c) coordinating the interface among all the project stakeholders.

Responsible for overall relationship with project stakeholders; (d) providing administrative support and strategic advice related to issues management; (e) undertaking detailed research and analysis on a wide range of topics related to the President's Office; (f) following up on decisions made and monitoring these supports and best practices to ensure there is ongoing maintenance of the highest level of pro-activity, support, and service for the portfolio, and ensuring timelines are met.

The incumbent provides a high level of confidential support to the Assistant Vice-President, and collaborates with others in the Office, including the Director of Operations, Office of the President, in defining and achieving goals and objectives for the office, in order to maintain and improve administrative processes and procedures.

The Senior Project Manager will assist with and advance projects, and undertake initiatives and daily activities within the Office of the President that require knowledge of confidential information. The role of the Senior Project Manager will continue to evolve and the individual must be willing to respond to the given priorities of the day and be willing to work cooperatively in a challenging and dynamic environment.

The incumbent works closely with the Assistant Vice-President to ensure the operationalization of projects is seamless and meets required needs.

The incumbent works in a complex environment that requires a high degree of sensitivity, responsiveness and a need to maintain absolute confidentiality. The incumbent interacts closely with a wide range of senior members of the University, including vice-presidents, vice-provosts, governors, academic administrators, faculty and staff, as well as students and other community members.

Qualifications Required:

Education:

  • University degree required, post graduate degree (Master's or PhD) an asset, or equivalent in education and experience.

Experience: 

  • Minimum five (5) years' experience in a University setting in progressively senior positions;
  • Extensive experience with the University, knowledge of university policies and procedures, and an understanding of the University's organizational structure, including its governance;
  • Knowledge about media (including traditional, new and social media), protocol, diplomacy and an excellent understanding of the University's mission and intersection with the broader community;
  • Experience leading complex and multi-stakeholder projects.

Skills:

  • Advanced computer skills in Microsoft Office (must be able to set up templates and macros in Word and Excel, set up Excel spreadsheets and graphics, and prepare sophisticated PowerPoint presentations), and scheduling software;
  • Familiarity with Microsoft Sharepoint an asset;
  • Web design skills such as content management software and WordPress preferred;
  • Familiarity with Acrobat and other Adobe software an asset.

Other: 

  • Strong research, writing, communication, presentation and interpersonal skills;
  • Ability to work under pressure;
  • Familiarity with University governance, higher education sector, and public sector administration;
  • High degree of political acuity and judgment;
  • Ability to deal with senior University Officers in a manner which facilitates cooperation and consensus building;
  • Ability to work independently with a high degree of initiative, discretion, and tact; superior organizational skills in planning, project management and task coordination;
  • Flexibility and problem solver orientation; and strong leadership capabilities.
