Senior Pharmaceutical Executive Assistant
Job Overview
We are seeking an experienced and highly professional Senior Pharmaceutical Executive Assistant to provide strategic administrative and operational support to senior leadership within a fast-paced pharmaceutical organization in Raleigh, North Carolina. This role serves as a trusted partner to executive leadership, ensuring the seamless execution of business operations, executive communications, board activities, and cross-functional coordination.
The ideal candidate is exceptionally organized, proactive, and skilled at managing competing priorities while handling highly confidential information with discretion. This individual will play a critical role in supporting executive productivity, facilitating communication across internal and external stakeholders, and helping drive organizational effectiveness.
Key Responsibilities

  • Provide comprehensive executive support to senior pharmaceutical leaders, including complex calendar management, meeting coordination, and travel planning.
  • Manage domestic and international travel arrangements, including itineraries, accommodations, and expense reconciliation.
  • Coordinate executive communications, correspondence, and presentations on behalf of leadership.
  • Prepare, organize, and distribute materials for Board of Directors meetings, executive leadership meetings, and investor-related activities.
  • Serve as a liaison between senior executives and internal departments, external business partners, vendors, and key stakeholders.
  • Support company-wide communications, leadership meetings, town halls, employee engagement initiatives, and corporate announcements.
  • Coordinate cross-functional projects and follow up on action items to ensure timely completion of business objectives.
  • Maintain highly confidential records and sensitive business information with the highest degree of professionalism and discretion.
  • Create, edit, and format reports, presentations, and business documents utilizing Microsoft Office applications and collaboration platforms.
  • Manage executive expense reporting, invoice processing, and budget tracking activities as needed.
  • Assist with planning and execution of corporate meetings, conferences, advisory boards, and special events.
  • Support document management and record retention processes in accordance with company policies and applicable pharmaceutical industry standards.
  • Anticipate executive needs, proactively identify solutions, and drive process improvements that enhance operational efficiency.
  • Provide administrative support for special projects and strategic initiatives as assigned.
Qualifications
  • Bachelor's degree preferred or equivalent combination of education and experience.
  • Minimum of 5-7 years of executive assistant or senior administrative support experience, preferably within the pharmaceutical, biotechnology, healthcare, or life sciences industry.
  • Demonstrated experience supporting C-suite executives, senior leadership teams, or corporate officers.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines in a dynamic environment.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Excellent verbal, written, and interpersonal communication skills.
