THE OPPORTUNITY

The Officer, Senior Loan Administrator is responsible for the review and analysis of loan transactions and the timely processing of loan transactions from application through funding and closing. This role provides support to all loan parties and performs essential duties related to the collection and review of due diligence, closing, and funding documentation. Performs all duties in accordance with the Company’s policies and procedures, all U.S. state and federal laws and regulations, wherein the Company operates.

HOW YOU’LL MAKE A DIFFERENCE

  • Conduct thorough reviews of loan files and loan packages to ensure all required transaction documentation is included.
  • Independently analyze transaction types and determine required due diligence items and legal documents needed for accurate closings and compliance with bank and regulatory requirements.
  • Collaborate with clients, Relationship Managers, and loan team members to ensure timely loan closings.
  • Handle complex loans, including transactions involving outside legal documentation, Syndications/Participations, and Specialized Lending.
  • Perform pre-funding validation of internal SOX controls related to loan origination funding.
  • Identify outstanding items, coordinate with appropriate parties to obtain required documentation, and maintain open items tracking.
  • Coordinate insurance requirements with customers, insurance brokers, and Relationship Managers to ensure timely receipt of appropriate coverage.
  • Order flood certifications and complete all related requirements, including flood notices, flood insurance verification, and compliance reviews in accordance with NFIP guidelines, regulatory requirements, and bank policy.
  • Order and review preliminary or proforma title reports, title exceptions, easement information, and surveys, and coordinate resolution of identified issues.
  • Order and review third-party collateral reports, including appraisals, environmental reports, and transaction screen assessments, and obtain additional reports as necessary.
  • Open escrow and title, coordinate loan closings, and ensure escrow settlements are accurate prior to funding.
  • Independently review entity structures and organizational documents and obtain supporting documentation required to verify management and control.
  • Prepare lender instruction letters when escrow is involved.
  • Complete loan closing and funding packages, including balancing sheets, wires, final checklists, and pre-funding review requirements prior to boarding.
  • Assist with collateral perfection, including UCC filings and tax service contract ordering.
  • Perform post-closing follow-up, including obtaining title policies, endorsements, recorded documents, and trailing collateral documentation.
  • Ensure required bank-controlled accounts are opened and appropriate account holds are established.
  • Respond to customer, Relationship Manager, and internal inquiries regarding loan closing status.
  • Work closely with outside counsel to maintain closing checklists, participate in loan closing calls, and follow up on outstanding requirements.
  • Monitor loan pipelines and update nCino Loan Administration Workflow reports as needed.
  • Track good faith deposits and rate lock expiration dates and coordinate extension requests when necessary.
  • Request payoff demands from existing lenders.
  • Process withdrawn and declined transactions, including refund reconciliation and adverse action notifications when applicable.
  • Maintain a professional and courteous attitude while delivering service to internal and external clients.
  • Ensure final documents and due diligence materials are saved in the bank’s official document repository.
  • Cross-train junior Loan Administrators and provide backup support for the Loan Administration team as needed.
  • Possess specialized knowledge of loan boarding functions, terminology, policies, and procedures, including due diligence requirements for commercial loan purchases.
  • Follow all established policies and procedures.
  • Perform other duties and projects as assigned.

WHAT YOU’LL BRING

  • Minimum of four (4) to six (6) years of commercial loan administration and financial services experience, including loan documentation preparation, loan closing, and funding.
  • Proficient understanding of all documents required for borrowing entities and the ability to assess whether legal documents contain appropriate terms and conditions for approved credit products.
  • Proficient in nCino and Salesforce.
  • Current knowledge of Real Estate, Construction, Commercial & Industrial (C&I), Entertainment, Specialty Lending, Asset Based Lending, and Syndicated Lending loans.
  • Knowledgeable in branch functions associated with loan origination, processing, and closing.
  • Assures compliance with all bank policies and procedures and applicable state and federal banking regulations.
  • Ability to exercise discretion and independent judgment that impacts the immediate work unit and cross-functional departments.
  • Ability to make conclusive recommendations based on independent analysis.
  • Proficient knowledge of title policies and applicable lending regulations, including RESPA, HMDA, and other bank lending policies.
  • Intermediate knowledge of commercial insurance terminology, forms, and bank requirements.
  • Proficient skills in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Intermediate math skills, including calculating interest, percentages, rates, ratios, balancing accounts, and interpreting bar graphs.
  • Effective organizational and time management skills.
  • Exceptional oral, written, and interpersonal communication skills.
  • Ability to make decisions that have moderate impact on the immediate work unit and cross-functional departments.
  • Ability to work with little to no supervision while performing duties.
  • Familiar with IBS (or similar) loan systems.
  • Bachelor’s degree.
  • High school diploma or equivalent required.
