Position: Senior Manager Financial Operations

Summary:
Reporting directly to the Associate Finance Director, Department of Medicine, this individual manages a staff of four: Senior Financial Analyst, Financial Administrator and 1 Financial Analyst. The Senior Financial Manager for the Department of Medicine is responsible for monthly, quarterly and annual financial operation activities which include: monthly financial statement preparation, reconciliation of inter entity transfers, development of the annual budget, allocation of central expenses to divisions, and management of the cash and accounts payable functions. This position is the primary liaison with the Directors of Divisional Administrators (DDAs) and Business Directors - providing financial information and support. This position is also responsible for the development of monthly financial information which is communicated to CPUP and UPHS leadership. Incumbent will play an active role in multiyear funds flow renewal and all related analysis and strategy. The scope includes eleven divisions: Cardiology, EDM, Geriatrics, GI, DGIM, Genetics, Heme/Onc, ID, Pulmonary, Renal, Rheum, and Sleep and DOM Education with $615 million in Gross Charges, 2.8 million wRVUs and $170 million in IETs across UPHS campuses. This position implements and oversees efficient customer-focused financial processes and systems which are designed to align with the future needs of the Department.
Responsibilities:
  • Preparation of monthly financial statement package for each of the Director of Divisional Administrators and Business Directors which includes variance review and comments for the monthly financial statements. This is done on a divisional basis and consolidated basis. Presents financial data, provide explanations, communicates data to relative stakeholders.
  • Oversees monthly financial reporting and variance processes for the department. This includes review of department, divisional, and physician level income statements and department balance sheet. Also oversees all physician level snapshots and Vizient quarterly reporting.
  • Preparation of annual operating budgets and current year projection. This includes working with Hyperion Planning. Provide information to the COO, CFO and Department leadership in the development and implementation of operating budgets. Centrally manage all Hyperion budget reporting/rollup/balancing.
  • Active involvement in inter entity transactions and funds flow accounting. Direct interface with leadership for IET reconciliation
  • monthly, quarterly, ad hoc. Revenue in excess of $170 million.
  • Managing miscellaneous accounts receivable, accounts payable and purchasing functions. Authorize all purchase orders and check requests. Complete authorization for substantial purchase orders or check requests per department guidelines.
  • Responsible for monthly incentive compensation accrual calculations. Expense in excess of $12 million.
  • Serves as point of contact for SOM Senior Director for university bill, SOM transfers, etc.
  • Serves as a point person for our affiliates. Reconciles invoices (OOR in excess of $11 million) and payments on a monthly basis.
  • Accountable for having financial statements and statistical results accurately and consistently prepared and reported in conformity with general accounting principles and in accordance with Penn Medicines' policies and procedures. Maintain working knowledge of University/SOM/Hospital/VA side of financial operations.
  • Serves as point of contact for SOM Senior Director for university bill, SOM transfers, etc.
  • Serves as a point person for our affiliates. Reconciles invoices (OOR in excess of $11 million) and payments on a monthly basis.
  • Responsible for managing the daily activities of the Finance Staff. This position is responsible for hiring and evaluating personnel, staff development, training, scheduling and delegation of workload.
  • Analyzing the profitability of individual physicians, programs and Divisions so Department Leadership can rely on this data to make strategic decisions.
  • Development of MBPLs and Effort Reports for compliance with new Effort Guidelines.
  • Accountable for maintaining proper control over inventory.
  • Works collaboratively with CPUP Finance on monthly basis.
  • Reviews, analyzes and updates faculty coverage reports and proactively address physicians not meeting benchmarks.
  • Calculate and maintain CFTEs on a quarterly basis. Provide physician productivity data as it relates to benchmarks, historical data, etc.
  • Maintain Lawson security and access for the department including 12 divisions.
  • Proper individuals have the necessary access to the reporting/ systems that they need. Confidential data is safeguarded.

Education or Equivalent Experience:
  • Bachelor of Arts or Science Accounting, Business Administration, Finance or related discipline (Required).
  • 6+ years progressive experience in general accounting and/or budgeting is required; health system or an academic medical center related experience preferred.
  • Master of Arts or Science Accounting, Business Administration, Finance or related discipline (Preferred).
