Job description

A small, family-owned professional business is seeking a highly detail-oriented senior administrative assistant to join our team. This is a full-time position requiring computer literacy, accuracy and ability to be highly organized and efficient in what you do. Because we are a small business, duties may vary accordingly, and we are looking for someone who is comfortable with learning a wide variety of job functions and wearing different hats, as needed. We are close-knit team, and will be looking for someone with a positive attitude and ability to see where improvements can be made and help us to further our maturity.   

Primary job duties:  

- Manage day-to-day office operations and communicate clearly and professionally with customers and vendors.  

- Organize work, and make sure the load is balanced within the team.  

- Process test certificates, type test certificates and ensure accurate records for ISO Tank Container surveys.   

- Maintain xls spreadsheets and ensure data is kept up to date, and our regulatory requirements are fulfilled.  

- Support the field staff in their activities, and ensure they turn their materials in daily.   

- Assist the director of the company in his daily administrative tasks, as assigned.  

- Maintain a high degree of professionalism at all times and make sure the company is represented well in communications.  

Skills Desired:  

- 5+ years’ experience in an office function.   

- Expert proficiency in Microsoft o365 applications, Word and Excel, this may be tested. 

- Excellent written and verbal communication skills. 

- Strong attention to detail and self-organized. It is very important that the candidate is thorough and makes very few mistakes. We are in a regulatory industry.  

- Ability to retain information quickly and learn.  

- Degree in business administration, engineering or a related field is desired.

Our company performs statutory inspections (commonly known as 2.5 and 5-yr inspections) and non-statutory inspections (such as on-hire surveys, off-hire surveys (also known as off-hire estimate verification), in-service estimate verification, condition or damage surveys and cleanliness surveys.
