Job description

  • Handle day-to-day office management and provide administrative, operational, and program support
  • Track initiations, completions, analytical/portfolio assistance, suspense actions, workloads, facility assignments, and customer requests
  • Maintain databases, spreadsheets, and files containing critical information
  • Research, implement, and communicate DoD and DCSA policies and procedures
  • Provide phone and desk coverage
  • Coordinate calendars, schedules, travel bookings, and official correspondence
  • Create and edit reports, spreadsheets, presentations, newsletters, brochures, letters, memos, and interoffice communications
  • Draft documents from initial to final versions while ensuring accuracy, formatting, grammar, spelling, and policy conformance
  • Track internal and external actions through task management systems
  • Coordinate training events
  • Review Defense Travel System (DTS) submissions for leadership
  • Serve as point of contact for Regional Headquarters queries, monthly updates, and special requests from DCSA Headquarters and staff
  • Perform other duties as assigned for the regional location
Requirements
  • At least two (2) years of relevant administrative, program, or office support experience
  • Six (6) years of relevant administrative, program, or office support experience in lieu of a bachelor’s degree
  • Bachelor’s degree or equivalent; substitution with six years of related work experience allowed
  • Strong written and oral communication skills and interpersonal skills for cross-functional teamwork
  • Proficiency in English and Microsoft Office Suite
  • Proficiency in data analysis tools, including Microsoft Suite, SharePoint, and Excel
  • Strong problem-solving, critical thinking, and research abilities
  • Ability to handle Controlled Unclassified Information (CUI) and classified material in accordance with DCSA policies
  • Strong organizational and multitasking ability
  • Experience supporting senior executives or government agencies
  • Familiarity with DCSA policies, investigative support functions, and automated task systems
  • Ability to coordinate across multiple stakeholders and manage sensitive information
  • Must be a US Citizen with an active Secret clearance
  • Must successfully complete a pre-employment drug screen
  • Ability to work Monday through Friday, 8:00 a.m. to 5:00 p.m.; evening and weekend hours as required by business need
  • Up to 10% local travel may be required
  • Must be able to remain in a stationary position 75% of the time
  • Must be able to work indoor conditions 90% of the time
  • Frequently move standard office equipment up to 25 pounds
