JOB PURPOSE:
The administrative assistant plays a vital role in our organization, responsible for services aligned with Endeavor's principles of wellness. The administrative assistant provides general information about internal services and community referrals. This position is dedicated to ensuring customer service and access to care for all enrolled individuals in the program with empathy, compassion, and a commitment to promoting wellness and holistic care.
ESSENTIAL JOB RESPONSIBILITIES:
- Route in-coming calls to appropriate parties.
- Ensure messages are complete, accurate, and transmitted to appropriate person.
- Screen calls when requested.
- Be knowledgeable of department staff and what calls are referred to which staff member.
- Be knowledgeable on purpose and general operation of various programs being directed by Endeavors to be able to intelligently communicate information to visitors.
- Maintain a neat, inviting, and professional appearance in the lobby and accent first floor areas. Keep the front desk orderly and professional.
- Welcome and greet visitors in a friendly and professional manner. Determine the nature of the visit, who they need to speak with. Promptly notify appropriate staff or tenant of visitor’s arrival. Announce visitors who have an appointment with a tenant or staff person in the building. Screen unexpected visitors with the appropriate staff.
- Support the mail process, receiving and signing for deliveries and notifying recipients.
- Maintain building security by identifying visitors and controlling access to office areas.
- Manage and coordinate incoming room reservation requests via email, phone, and online platforms from internal and external organizations.
- Maintain records of reservations, cancellations, and changes.
- Support fitness center and other program enrollments by completing intake and ensuring all paperwork is completed.
- Receive and process invoices for facility and program.
- Assist in preparation of reports related to the programs and building providers.
- Perform duties in an accurate and timely manner.
- Other duties as assigned.

ESSENTIAL QUALIFICATIONS:
EDUCATION: Some college preferred, High School or the equivalent is required, excellent reading, writing, and verbal communication skills.
EXPERIENCE: 6 months + with a multi-line telephone system preferred, 2-3 years’ customer service experience required; 2-3 years in a highly professional customer service-focused environment. Bilingual in English and Spanish preferred.
ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion.
LICENSES: Driver’s License with a clear record.
VEHICLE: Must have daily use of a vehicle without prior notice.
OTHER: Must be available and willing to travel to various locations and with such frequency as the business needs dictate.
