Purpose

Oversee the operational performance and strategic planning of a portfolio of commercial real estate assets, ensuring consistent execution of Allied’s standards across property operations, asset planning, and user experience. As a Senior Manager, Portfolio Operations, you will drive operational excellence by supporting cross‑functional teams, strengthening internal and external partnerships, and advancing initiatives that enhance asset value and portfolio performance.

Reporting to the Director, Portfolio Operations, you will support Portfolio Operations, Technical Services, Security, tenants, and internal teams in delivering high‑quality operations across the portfolio. You will contribute to asset planning, financial performance, risk mitigation, and the execution of capital, sustainability, and repositioning initiatives. You will work closely with multiple stakeholders to ensure properties operate efficiently, compliance requirements are met, and portfolio performance aligns with Allied’s operational and financial expectations.

Responsibilities
  • Manage property revenues and expenses, including budget preparation, monthly financial analysis, and management reporting; ensure accurate tenant billings and lease compliance for year‑end adjustments.
  • Engage and manage suppliers and contractors to ensure that all required services are being performed in accordance with service level agreements.
  • Conduct property inspections in the context of reviewing and improving the asset plans and ensuring quality control.
  • Liaise with internal experts and consultants on life safety and environmental matters.
  • Oversee property administration, ensuring timely collections and acceptable balances; manage default proceedings and liaise with legal and collection professionals as needed.
  • Complete and document move‑in and exit inspections, ensuring vacant spaces remain secure and marketable.
  • Develop and supervise operational procedures, ensuring adherence to legislative requirements and regularly updated emergency response protocols.
  • Liaise with external consultants to review and appeal property tax assessments.
  • Support building intelligence initiatives within portfolio.
  • Collaborate with Technical Services team on execution of preventative maintenance program and day‑to‑day facilities management.
  • Support Technical Services and Development teams in execution of repositioning projects, base building capital projects, energy retrofits, landlord’s work, and tenant leasehold improvements.
  • Support Energy Management team in execution of sustainability plan to reduce energy and water consumption, carbon emissions, and maximize waste diversion within portfolio to achieve corporate ESG targets.
  • Lead process for third‑party building certifications, if applicable.
  • Ensure compliance with all national, provincial, and municipal legislation, regulations and codes, including health and safety, and environmental programs.
  • Ensure efficient property operations, maintenance, and repairs, maintaining compliance with regulations, life safety standards, and cost‑effective practices.
  • Respond to after‑hours emergency calls by going to the site and taking the necessary actions required to ensure all emergency procedures are followed and the security of personnel and the property is maintained.
  • Ensure compliance with management agreements, as required.
Strategic Asset Planning
  • Provide strategic portfolio and property planning, including leading the preparation of Asset Plans and Annual Property Budgets.
  • Identify and prepare cash flow analysis of value‑creation opportunities within the portfolio.
  • Develop and implement strategies to enhance property value and maximize returns.
  • Make recommendations regarding leasing strategies, property operations and capital improvements in respect of each property and support or execute as required.
  • Support the acquisition, development, and disposition of properties, actively participate in the due diligence process, and oversee the transition of new assets into the portfolio and implementation of underwriting plans.
  • Implement and manage risk mitigation strategies for the portfolio.
  • Conduct thorough market research to support Asset Plans and new investment opportunities.
Portfolio Performance
  • Lead inter‑departmental monthly financial reviews to ensure timely delivery of results and the advancement of key strategic priorities.
  • Work collaboratively with the Technical Services, Energy Management, Life Safety and Security, Property Accounting, Leasing and Development teams to execute property‑specific asset plans and deliver results in accordance with the annual operating and capital budget to maximize portfolio NOI, FFO, AFFO, and NAV.
  • Monitor the accounts receivable process to ensure timely collection of monthly rent and tenant charges, assist with difficult accounts.
  • Provide input on the appraisal of all assets within portfolio.
  • Forecast and monitor all financial and non‑financial metrics.
User Experience
  • Oversee user experience, including addressing inquiries, resolving complaints, and ensuring exceptional customer service delivery.
  • Build strong relationships with users through regular interactions and Allied’s User Engagement Program.
  • Review user surveys and implement measures to enhance user satisfaction and retention.
  • Lead or support new user onboarding.
Leadership
  • Manage a property‑specific team of direct and indirect reports.
  • Coach, develop, and mentor direct and indirect team members to achieve company expectations, including:
  • Foster a spirit of teamwork, collaboration, and unity among all departments.
  • Assist with setting individual team members annual goals.
  • Ongoing review of goals and performance.
  • Provide effective performance feedback and appropriately communicate through department meetings, one‑on‑one meetings, and regular interpersonal communication.
  • Review and implement measures to address opportunities identified in annual employee engagement survey.
  • Support the Director, Portfolio Operations to recruit, interview and select new employees.
  • Developing and implementing policies and procedures for the property.
  • Strengthen community partnerships and oversee strategic direction of various development initiatives by enrolling as Board of Directors of relevant Business Improvement Associations.
Qualifications
  • 5‑10 years of relevant commercial real estate industry experience in multiple disciplines including asset management, property management, acquisitions and leasing.
  • Minimum 5+ years property management experience in commercial portfolios.
  • Undergraduate degree in Business, Economics, Finance or Real Estate.
  • Highly developed written and oral communication skills.
  • Strong people management abilities, including a proven ability to build relationships.
  • Strong analytical and strategic thinking capabilities.
  • Strong knowledge of, and experience with, financial modeling and analysis, including Microsoft Excel.
  • Working knowledge of real estate valuations and returns.
  • Solid understanding of building fundamentals and construction.
  • Ability to work in a fast‑paced environment and carry out multiple responsibilities simultaneously.
  • Team player attitude.
  • Bilingual in French and English.
Would be an asset
  • MBA and/or graduate degree in Real Estate or Finance.
  • DULE, RPA or CPM designation considered an asset.
  • Industry designations.
  • Knowledge of Yardi.
