Job description

SXSW Seasonal Music Conference Assistant
Job Purpose
SXSW is seeking a Seasonal Music Conference Assistant to help the Music and Conference departments execute key operational processes and production requirements for the SXSW Music Conference. From legendary performers to the most exciting new talent, the SXSW Music Festival & Conference brings together artists, industry professionals, creatives, and music lovers from around the world to make connections, elevate their careers, and celebrate the magic of live music.
Duties & Responsibilities
Responsibilities Include but are not limited to:
  • Provide administrative support to lead SXSW Music Conference Programmer.
  • Provide exceptional customer service to speakers, artists, industry professionals, partners, and attendees.
  • Assist with conference programming logistics, including tracking sessions, speakers, moderators, panelists, and program deadlines.
  • Help identify and research potential speakers, artists, industry leaders, and emerging talent.
  • Effectively manage and assist with the preparation and distribution of speaker communications, briefing materials, schedules, and event information in a timely manner.
  • Organize speaker information and input into various databases ensuring accuracy and accessibility for all teams.
  • Maintain a high level of professionalism, organization, and attention to detail when working with artists and industry professionals.

On-Site Responsibilities
  • Overseeing programming taking place at assigned venue(s).
  • Ensuring that the conference sessions and formats are running on time and tracking attendee engagement.
  • Independently manage programming formats, troubleshooting any on site issues that arise (pertaining to Music Conference programming).
  • Assist registrants and speakers with customer service needs.
  • Assist with any staff requests if shorthanded.

Qualifications & Skills
Qualifications include:
  • Demonstrate a strong understanding of the music industry ecosystem, current trends, and evolving business models.
  • Leverage preferred experience in music festival/live event execution and managing high-profile artists or executives.
  • Communicate effectively in person, in writing, and publicly, with experience in public-facing roles preferred.
  • Prioritize and juggle multiple projects, deadlines, and stakeholders simultaneously in a fast-paced environment.
  • Solve unique problems using critical thinking and creative solutions while maintaining a positive attitude.
  • Utilize proficiency in standard business tools, including Microsoft Office, Google Workspace, Slack, Basecamp, and FileMaker.
  • Collaborate seamlessly as a team player while demonstrating the self-motivation to work independently.
  • Showcase a genuine passion for music and connecting people within the industry community.

The physical demands described here are representative of those that an employee must meet to perform the essential functions of this job successfully:
  • Prolonged periods of sitting or standing at a desk and working on a computer.
  • Ability to lift to 10 pounds occasionally, as needed.
  • Operation of standard office equipment, including computers, phones, and printers.
  • May require occasional bending, reaching, kneeling, or climbing stairs.
  • Ability to work outdoors, including exposure to varying temperatures or noise levels

Work Location & Schedule
The position is full-time and located in Austin, Texas. Core business office hours are from 10 am-6 pm Monday through Friday. You must be available to work additional hours from January through March, including evenings and weekends. You must also be available for the March event, which will have extended working hours onsite.
