Overview

We are seeking a dynamic, detail-oriented Sales & Marketing Coordinator to support our Commercial team across a portfolio of distinctive luxury lifestyle hotels and resorts. This role is ideal for someone who thrives at the intersection of creativity and strategy and is energized by bringing our brand stories to life through remarkable guest and partner experiences. Based in our New York corporate office, the Sales & Marketing Coordinator supports sales initiatives and marketing campaigns while helping ensure alignment between brand vision and property-level execution across the portfolio.

Responsibilities

Responsibilities (including but not limited to):

  • Provide day-to-day administrative support to the Commercial team, including scheduling, reporting, and meeting coordination
  • Develop and refine PowerPoint presentations for internal and external use, ensuring visual and messaging consistency across all touchpoints
  • Support the rollout of brand initiatives, seasonal campaigns, and experiential programming across properties
  • Coordinate vendor relationships, track marketing budgets, and process invoices
  • Conduct product research across projects (retail, amenities, promotional items, partnerships, etc.)
  • Manage marketing calendars to ensure deadlines and campaign milestones are met
  • Organize and maintain brand assets, photography, and collateral libraries
  • Assist in coordinating communication and asset sharing between corporate and on-property sales and marketing teams
  • Assist with the planning logistics for client events and/or internal events (sales training / GM Summits)
  • Coordinate the writing and distribution of the Viceroy Victor internal email recognition program
  • Confidentially support internal and external requests when a member of the Commercial Leadership team is out of the office 
  • Organize and maintain the Commercial Leadership Team OneDrive filing system
  • Support the coordination and execution of trade shows, roadshows, advisory boards, webinars, and customer events
  • Maintaining action trackers and ensuring property teams are delivering against deadlines
  • Assisting with trip reports, presentations, account plans, and commercial reporting
  • Supporting onboarding of new commercial leaders
  • Helping manage sales databases, account lists, and partner information
  • Acting as a liaison between Corporate and property teams to ensure initiatives are moving forward
  • Attend meetings/training as required by management.
Qualifications
  • Bachelor's degree in Marketing, Hospitality, Communications, or a related field
  • 1-3 years of experience in hospitality, luxury or lifestyle brands, marketing, or sales support (We are also open to very strong and ambitious fresh graduates, from the best hotel schools)
  • Passion for luxury lifestyle hospitality, travel, food & beverage, design, and culture
  • Strong organizational and project management skills with exceptional attention to detail
  • Excellent written and verbal communication skills with a creative sensibility
  • Proficiency in Microsoft Office Suite; familiarity with digital marketing and CRM tools preferred
  • Ability to manage multiple priorities in a fast-paced, ever-evolving environment
  • Computer knowledge/skills required.
  • Flexible and long hours sometimes required.
  • Excellent written and verbal communication skills with a creative sensibility
  • Light work - Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Maintain a warm and friendly demeanor at all times.

  • Maximize efforts towards productivity, identify problem areas and assist in implementing solutions.
  • Must be effective in handling problems, including anticipating, preventing, identifying and solving problems as necessary.
  • Must be able to understand and apply complex information, data, etc. from various sources to meet appropriate objectives.
  • Must be able to cross-train in other hotel related areas.
  • Must be able to maintain confidentiality of information.
  • Must be able to show initiative, including anticipating guest or operational needs.
  • Perform other duties as requested by management.
