Job description

Job Summary
TrueTimber Outdoors is currently seeking a highly organized and detail-oriented Production & Logistics Coordinator to manage our end-to-end supply chain, vendor communication, and major retail account compliance. In this role, you will serve as the central hub between international manufacturing factories, freight forwarders, internal warehouse teams, and key retail customers .
The ideal candidate possesses exceptional Microsoft 365 skills, hands-on experience with NetSuite a plus, a strong understanding of EDI order management, and a proven track record of maintaining meticulous tracking reports in a fast-paced environment.
Key Responsibilities
Production Tracking & WIP Management
  • Maintain Production Records: Own and update the weekly tracking and Work-in-Progress (WIP) sheets in Microsoft Excel, tracking prebooks, factory purchase orders, and delivery schedules.
  • Log Shipments: Input commercial invoice and packing list data into the WIP tracking system, including quantities shipped, sailing/flight schedules, and container/AWB numbers.
  • Factory Correspondence: Act as the primary daily point of contact for international factories to resolve production issues, clarify orders, and monitor delivery timelines.

Reporting & Internal Communication
  • Season Tracker Ownership: Build and maintain comprehensive seasonal tracking reports monitoring milestone dates (NIF submissions, EDI receipts, and ticketing approvals).
  • Customer Updates: Generate Open PO Detail Reports and program-specific inbound container breakdowns (by style/color/size) for high-importance programs (e.g., Black Friday, special apparel/cap programs).
  • Team Collaboration: Utilize Microsoft Teams daily for cross-functional communication and real-time coordination with internal teams.

Global Shipping & Logistics
  • Freight Booking & Approval: Review, approve, reject, or revise cargo bookings submitted by global freight forwarders.
  • Customs Clearance: Provide all required FOB shipping documentation to forwarders for US Customs clearance. Review and approve broker entry summaries.
  • Inbound Reporting: Maintain a running Inbound Shipment Report to track containers and airway bills, visibility dates, and content descriptions.
  • Warehouse Liaison: Assist the internal Shipping Department with date changes for routing past-due orders and clarify order details to ensure seamless warehouse receiving.

Retail EDI & Order Compliance
  • EDI Auditing: Review and audit all incoming retail EDI orders against original prebooks and factory POs.
  • Discrepancy Resolution: Meticulously verify styles, colors, sizes, quantities, UPCs, unit pricing, and delivery dates. Partner directly with the customer to resolve and retransmit order discrepancies.
  • New Item Onboarding: Conduct final reviews and completion of New Item Forms (NIF) for retail systems after new styles are set up in NetSuite. Audit UPCs, fabric content, HT codes, carton weights, and dimensions before submission.

Vendor Ticketing & Compliance
  • Price Ticket Management: Facilitate factory price ticketing orders by issuing Fineline PO numbers or converting EDI data into Excel Data Sheets for Avery Dennison.
  • Layout Approvals: Review and approve factory price sticker/ticket layouts before final production.

Qualifications & Skills
  • Experience: 3-5+ years of experience in supply chain coordination, production tracking, apparel/wholesale logistics, or retail operations.
  • ERP System Proficiency: Experience using NetSuite for item setup or order management preferred.
  • Software Skills: High proficiency in the Microsoft 365 suite, with advanced Excel skills (managing data sheets, formulas, and running reports).
  • Retail Compliance: Strong familiarity with retail routing guides, EDI processes, and onboarding documents (New Item Forms/NIFs) for major big-box retailers (Bass Pro/Cabela's experience is a major plus).
  • Logistics Knowledge: Understanding of international shipping documentation (Commercial Invoices, Packing Lists, Bill of Lading) and US Customs broker entry processes.
  • Attributes: High attention to detail, strong problem-solving skills, and the ability to manage cross-functional communication under tight deadlines.
