Job Description Service Writer - 1st Shift - Park City, KS Location: Park City, KS Shift: 1st shift, 8am-4:30pm M-F Pay: $20-$25/hour Summary The Service Writer is responsible for maintaining Service Technician timecards and safety training records, generating work order logs, entering data into the service management system, preparing warranty claims, running reports, and supporting daily service department operations as directed by the Branch Service Manager. Essential Functions Administrative Responsibilities Maintain department communication to ensure reports and work are completed accurately and on time. Maintain Service Technician timecards and safety training records.

Maintain DOT and IFTA logs for all field service trucks. Maintain clean and organized warranty parts storage. Enter labor charge codes, work performed, and machine information accurately.

Assist with customer invoicing issues and billing inquiries. File invoices properly within the current accounting system to maintain billing cycles. Answer incoming phone calls, take messages, and direct calls as appropriate.

Maintain a clean, organized, and safe work environment. Service Responsibilities Complete job status reports. Generate work order logs and review completed work orders.

Open and close work orders promptly to minimize work-in-process. Maintain use of the Standard Pricing Guide (SPG) on all applicable work orders. Coordinate with Product Support personnel as needed.

Bill labor according to established flat-rate guidelines. Interview customers to obtain equipment concerns and prepare repair estimates/quotes. Prepare and submit warranty claims and maintain warranty documentation.

Establish and maintain service records. Maintain quality control documentation. Monitor Service Technician productivity and communicate updates to the Branch Service Manager.

Schedule and coordinate field service work. Dispatch service trucks using internal fleet management systems. Process warranty-related parts returns.

Additional Responsibilities Deliver parts and run company errands as needed. Perform other duties as assigned by management to support business operations and departmental objectives. Knowledge, Skills & Abilities Strong customer service focus.

Proficiency with Microsoft Office and internet-based applications. Construction equipment knowledge is preferred. Knowledge of warranty administration processes.

Basic knowledge of office equipment including copiers, fax machines, and printers. Basic knowledge of construction equipment and equipment operations. Strong attention to detail and accuracy.
