Job description

Rite Rug must hit schedules on time; the proper materials and job information must accompany each work order. The Order Writer shall consistently ensure the following functions are performed.
Scheduling:
  • Check that materials for upcoming jobs have been ordered properly, are scheduled to arrive on time, and, finally, have arrived at the local warehouse in time for installation
  • Expedite materials when necessary/possible, working with Purchasing, Branch Manager, and local suppliers
  • Work closely with Property Managers or Maintenance supervisors with regard to schedule adjustments/changes
  • Advise Field Supervisor and Production Manager of schedule changes
  • Schedule jobs based on customer-established systems

Writing:
  • Based on customer-specific processes, key and order materials in a timely manner
  • Print work orders and attach appropriate diagrams, maps, etc.
  • Establish with Sales all pricing, selections programs, billable services charges, etc.
  • Work closely with Sales regarding specific needs and instructions; add notes to work orders and clarify with Production Manager as needed
  • Maintain filing system for job files, floor plans, etc.
  • Reconcile with Production Manager and Sales extra materials and labor charges
  • Monitor margin levels and report/discuss low-margin CGs with Sales and Regional Office Manager

Customer Service:
  • Work closely with Property Managers to schedule, expedite, and follow up on customer service
  • Check-in with Field Supervisor and Production Manager to confirm progress and completion of inspections, finish work, and/or installations;
  • Especially monitor complicated jobs and hot/repeat issues;
  • Escalate dire service situations to Production Manager
  • Answering calls/ directing to the appropriate person(s)

The Order Writer is the critical hub for information and action in Rite Rug operations. Resolving problems and expediting issues are this person's prime objectives.
