HireRight is seeking a motivated Proposal Writer to join our global Proposal Team. This is an exciting opportunity to play a strategic role in driving business growth by partnering with Sales, Account Management, Legal, Compliance, Security, Product, Operations, and other subject matter experts to develop compelling, accurate, and compliant proposals that help win new clients and expand customer relationships.

The Proposal Writer is responsible for managing and developing high-quality, compliant, and persuasive responses to Requests for Proposal (RFPs) and other client-facing bid documents. This role requires strong writing skills and the ability to translate operational, technical, legal, privacy, security and regulatory information into clear client -ready responses. The Proposal Writer must ensure responses are accurate, defensible and aligned with approved company messaging. The ideal candidate is detail-oriented, deadline-driven, comfortable working across global teams, and able to balance urgency with the discipline required for regulated, risk-sensitive proposal work.

This is a hybrid role role based in our Nashville, TN or Tulsa, OK office.


  • Lead the development and submission of RFPs, RFIs, and related client questionnaires from intake through final submission.
  • Analyze solicitation requirements compliance matrices, instructions, evaluation criteria, and customer priorities, and create response strategies, timelines, and content plans.
  • Draft, edit, and tailor proposal responses to address customer requirements while clearly positioning HireRight’s capabilities, differentiators, and value proposition. Perform necessary research and analysis as needed to answer prospect/client questions including coordinating with internal stakeholders to gather technical and operational information.
  • Develop compliant, client-ready responses to complex requirements, including background screening, global operations, privacy, security, legal, implementation, service delivery, integrations, SLAs, and regulatory topics.
  • Manage proposal schedules, deadlines, and version control to ensure timely completion of deliverables.
  • Identify and escalate proposal risks, unclear requirements, response gaps, inconsistencies, or potential overcommitments to ensure submissions are accurate, defensible, and aligned with approved company capabilities.
  • Maintain and enhance the proposal content library, templates, approved responses, and knowledge repositories.
  • Review proposals for consistency, quality, grammar, formatting, and brand standards.
  • Lead proposal strategy sessions and help drive alignment on win themes, response approach, customer priorities, and required subject matter expert support.
  • Track proposal metrics, content gaps, and process improvements to support scalable operations.

  • Bachelor's degree required; degree in English, Communications or Journalism a plus.
  • 3–5+ years of proposal, RFP, or complex business writing experience, preferably in a background screening, B2B, SaaS, HR technology, legal, healthcare, financial services, compliance, privacy, security, or other regulated environment.
  • Demonstrated experience managing RFPs with detailed compliance, security, privacy, operational or technical requirements.
  • Ability to interpret detailed RFP instructions, compliance matrices, questionnaires, evaluation criteria, and customer requirements to ensure complete and compliant responses.
  • Superior writing, editing, proofreading, and communication skills with the ability to translate complex subject matter into clear, persuasive, client-facing content.
  • Ability to manage multiple priorities, remain organized and meet strict deadlines in a fast-paced environment, deadline-driven environment.
  • Ability to work effectively with cross-functional teams and stakeholders and confidently follow up, clarify, or challenge incomplete information when needed.
