Job description

Operations Manager

Build the Engine That Powers Scientific Discovery

Why This Role Matters

Behind every order that arrives at a lab on time, every product that's in stock when a scientist needs it, and every workflow that runs without a hitch, there's an operations team making it happen. At Filtrous, we're growing fast, and we need an Operations Manager who can build the systems, processes, and team that let us scale without losing the speed and quality our customers depend on. You'll own the operational backbone of the company: fulfillment, inventory, customer service infrastructure, and the systems that tie it all together.

What You'll Do

  • Cut Costs Without Cutting Corners: Identify and implement process improvements that reduce operational costs and cycle times by 1020%. You'll find inefficiencies others miss and turn them into measurable savings that go straight to the bottom line.
  • Build the Playbook: Create and roll out Standard Operating Procedures for order fulfillment, customer service, and inventory management so every team member delivers the same high-quality experience every time.
  • Break Down Silos: Establish and document cross-functional workflows between Operations, Sales, Marketing, and Customer Success with clear SLAs and accountability, ensuring smooth handoffs and zero finger-pointing.
  • Make Performance Visible: Build dashboards and weekly reports that track fulfillment, returns, SLA performance, and key operational metrics. You'll turn reactive firefighting into proactive management.
  • Keep Shelves Stocked, Cash Flowing: Implement reliable demand forecasting and reordering systems that eliminate stockouts and backorders while keeping excess inventory in check. Evaluate and optimize supplier relationships for better pricing, delivery, and terms.
  • Fix the Plumbing: Audit and rebuild integrations across Acumatica, Shopify, and HubSpot to improve automation, data flow, and usability. The goal: eliminate manual data entry and give the team real-time visibility.
  • Raise the Bar on Quality: Reduce order errors, fulfillment delays, and response times through improved processes and oversight. Fewer mistakes mean happier customers and lower costs.
  • Build Your Team: Hire and manage two direct reports, developing them into high performers who can scale operations as Filtrous grows.

How Success is Measured

  • Reduce operational costs and cycle times by 1020% within the first 90120 days
  • SOPs for core functions documented and rolled out within 3060 days
  • Cross-functional workflows with clear SLAs established within 6090 days
  • Operational dashboards live and reporting weekly within the first 30 days
  • Backorders and stockouts reduced through a reliable forecasting system within 36 months
  • Systems audit and integration improvements across Acumatica, Shopify, and HubSpot within 180 days

Why You'll Love It Here

At Filtrous, you're not inheriting a rigid system. You're building one. You'll have the autonomy to redesign how operations work from the ground up, with direct access to the CEO and every department leader. This is a high-impact role where your improvements will be felt across the entire company: faster fulfillment, fewer errors, happier customers, and a team that runs like clockwork. As Filtrous grows, the operations foundation you build will be what makes that growth possible.

Who You Are

  • Bachelor's degree in Business, Operations, Supply Chain, or a related field (required)
  • 3+ years in operations management, logistics, or supply chain roles
  • Process optimizer with a track record of reducing costs or improving efficiency in fulfillment, inventory, or customer service
  • Cross-functional leader who has driven initiatives across Sales, Marketing, and Customer Success teams
  • ERP proficient: you're experienced with Acumatica, NetSuite, or similar, and comfortable integrating with Shopify and HubSpot
  • Data-driven: you build dashboards, track KPIs, and use metrics to make decisions
  • Team builder with experience hiring, developing, and leading high-performing operations teams
  • Organized and process-driven: you create structure where there is none and continuously improve what exists

Bonus points if you have:

  • Background in life sciences, biotechnology, or laboratory supplies
  • Experience with inventory planning, demand forecasting tools, or supplier management platforms
  • MBA or advanced degree
  • Familiarity with high-growth or startup environments
  • Experience using AI tools (ChatGPT, Claude, Copilot, or similar) to improve productivity and workflows
