POSITION:    High School Building Secretary / Administrative Assistant

LOCATION:  Clarenceville High School

SCHEDULE:   Full-time
SALARY:  In accordance with Master Agreement
                  Level 1 - Union Position 
POSTING DATE:   September 2026
DEADLINE:  Until Filled
STARTING DATE:  ASAP
WORK WEEKS:  52 weeks










QUALIFICATIONS

  • High School Diploma
  • Working knowledge of:
    • Microsoft Windows applications
    • Google Apps for Education
    • Computer word processing software
  • Demonstrate good oral and written communication skills and personal relationship skills
  • Proficient typing skills
  • Skilled proof-reading and office management skills
  • Ability to handle multi-task duties

Preferred

  • Knowledge of MI-STAR (Student information database system)

RESPONSIBILITIES & DUTIES

  • The secretary will:
  • Be responsible for office communications, which include, but are not limited to, the following examples:
    • Daily school announcements
    • Calendar of events
    • Student handbooks
    • Scheduling
    • Award certificates and programs
    • Correspondence
    • Progress reports, report cards and transcripts
    • School website
    • Transportation requests
  • Handle the office organization and routines in a professional manner.
  • Serve as the customer service contact with students, parents, staff and visitors to the school.
  • Represent the principal and district in customer relations.
  • Be able to maintain confidentiality.
  • Perform all tasks related to the office organization and routine.
  • Distribute all incoming mail and establish procedures for outgoing mail.
  • Maintain proper records and files.
  • Responsible for maintaining and processing student records (CA 60 and MiStar), including textbook, technology, student locks and locker records.
  • Responsible for resolving MiStar (student information database system) issues within the building.
  • Responsible for state reporting (e.g. CTEIS, GAD, Count Day, 31A, etc.).
  • Have knowledge of and be able to support attendance procedures, register new students and handle records reporting.
  • Be responsible for all procedures relating to substitute teachers.
  • Organize, order and maintain supplies.
  • Prepare, process, inventory and maintain copies of all purchase orders for the building.
  • Maintain proper accounting of school funds.
  • Process all time sheets.
  • Maintain and process all employee absence reports.
  • Manage the dispensing of student medications and provide first aid assistance when needed for students.
  • Manage the copier use, operations and supplies.
  • Assist administration in preparation of all materials related to Honors, Commencement, and other awards programs.
  • Assist parents responsible for the organization of the senior graduation party
  • Process and maintain all accident reports and insurance related materials.
  • Perform other tasks as assigned and directed by the building administrator

  • Performance of this job will be evaluated in accordance with provisions of the Board's policy on evaluation and contract language covering support services personnel.
