POSITION:    Clarenceville Schools Records Secretary

LOCATION:  Clarenceville School District

SCHEDULE:   Part-time (0.5) - Approximate Hours (8-noon)
SALARY:  In accordance with Master Agreement

QUALIFICATIONS

  • High School Diploma or equivalent (GED)
  • Strong organizational and time-management skills
  • High level of proficiency with standard office technology, including Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets, Drive), phone systems, and general office machinery
  • Demonstrated ability to communicate clearly, professionally, and empathetically with diverse stakeholders, including students, parents, staff, and community members under varied conditions
  • Uncompromising commitment to maintaining strict confidentiality of student records and sensitive information in compliance with the Family Educational Rights and Privacy Act (FERPA) and district guidelines
  • Proficient typing / word processing skills
  • Skilled proofreading and office management skills
  • Ability to multi-task with the proven ability to prioritize, maintain meticulous records, meet strict deadlines, and handle frequent interruptions
  • Ability to pass required fingerprinting / background check

Preferred

  • Knowledge of / experience working with student information systems - ideally MI-STAR (Student information database system)
  • Previous secretarial, clerical, or administrative support experience, preferably in a public school or fast-paced office environment

RESPONSIBILITIES & DUTIES

  • Maintain accurate daily attendance records, process late arrivals/early dismissals, and communicate directly with families to resolve unexcused absences or attendance concerns
  • Monitor attendance thresholds and regularly generate official attendance notification letters to families in alignment with district truancy protocols
  • Assist building administration with student scheduling updates, locker assignments, and resolving student locker issues
  • Update and maintain the school's digital master calendars and official website pages with accurate daily and upcoming event information
  • Prepare and submit required state compliance reports, Count Day data, year-end documentation, progress reports, transcripts, and official student rosters within mandated deadlines
  • Manage grade reporting processes, report card distribution, cumulative record files, honor roll, and mailing labels
  • Assist building administration with student scheduling updates and enrollment roster maintenance
  • Collect, account for, and process internal school activity funds in compliance with district financial policies
  • Maintain organized office filing systems, records, and general inventory
  • Operate standard office technology, including student information systems, multi-line phones, copiers, and specialized software applications
  • Provide front-desk coverage and execute essential administrative duties in the absence of district building secretaries
  • Deliver professional, welcoming, and effective customer service to students, parents, staff, and campus visitors
  • Maintain strict confidentiality regarding student, family, and personnel records in accordance with FERPA and district policy
  • Administer basic first aid to students and assist with general health room needs as required
  • Coordinate materials for student award recognition programs and school events, and attend assigned events as needed
  • Perform other administrative and operational duties as assigned by building administration

  • Performance of this job will be evaluated in accordance with provisions of the Board's policy on evaluation and contract language covering support services personnel.
