Position Overview:
The Attendance Clerk plays a critical role in maintaining the smooth daily operation of the school office. This position combines high-volume data management with personalized, service-oriented interaction, ensuring every student, family, and staff member receives timely, accurate, and confidential support. The ideal candidate will be adept at using Google Workspace tools, highly organized, and committed to fostering a collaborative and positive school environment.
Core Responsibilities:
Customer Service Excellence:
  • Serve as the first point of contact for families and visitors, projecting a warm, professional, and helpful demeanor.
  • Resolve inquiries promptly, maintaining a calm and supportive presence even in high-pressure situations.
  • Foster a positive school culture through clear communication, collaborative problem-solving, and mutual respect.

Student Records & Attendance Management
  • Accurately maintain daily student attendance records, including late arrivals, early dismissals, and excused/unexcused absences.
  • Monitor, record, and report attendance trends to administration and state agencies, including preparation of semi-annual state reports.
  • Manage student discipline referral processing and create corresponding letters in alignment with school policies.

Administrative Support:
  • Maintain and update student records, class schedules, and locker assignments.
  • Respond to inquiries from parents, staff, and students with professionalism, empathy, and accurate information.
  • Create and manage digital documents, spreadsheets, forms, and presentations using Google Docs, Sheets, Slides, and Forms for internal tracking and reporting

Health & Safety Documentation:
  • Track and maintain up-to-date student immunization records, ensuring compliance with state health regulations.
  • Monitor and document student medication administration, working closely with the school nurse to ensure accurate dosage tracking, secure storage, and timely communication with families.

Confidentiality & Compliance:
  • Handle all student information in strict accordance with FERPA and other applicable privacy laws.
  • Exercise discretion when managing sensitive student, family, or staff matters.
  • Ensure secure handling and storage of physical and digital records.

Collaboration & Teamwork
  • Partner effectively with administrators, teachers, health staff, and office colleagues to coordinate schedules, communications, and procedures.
  • Provide backup support for office operations as needed, ensuring seamless service in a busy school setting.

Event & Field Trip Coordination:
  • Support Trip Advisors in managing field trip attendance records, parent permission forms, and emergency contact documentation.
  • Coordinate with teachers and chaperones to ensure student rosters are accurate and accessible for safety and accountability.

Qualifications:
  • Demonstrated experience in office administration, preferably in a school or setting similar to an educational environment.
  • Proficiency in Google Workspace (Docs, Sheets, Slides, Forms, Calendar) and familiarity with Microsoft Office.
  • Strong typing, spelling, language, and telephone communication skills.
  • Exceptional organizational skills and the ability to prioritize multiple tasks.
