POSITION DESCRIPTION

JOB TITLE: Administrative Assistant to School Counseling

DEPARTMENT: Calvary Christian Academy

REPORTS TO: Lead School Counselor

STATUS: Non-Exempt; 12-Month Full-Time Hourly Calendar

Purpose Statement:

The Administrative Assistant is primarily responsible for providing support for the School Counseling Team, while also providing support to the Attendance Office and Upper School Reception.

Scope:

This position is vital to the effective, efficient operation of the School Counseling Department and other areas of the school. This person interacts with the school staff, parent and student communities of Calvary Christian Academy, and is to be a key information resource.

Specific Responsibilities:
  • Respond to students’ and parents’ general questions under the purview of School Counseling (office visits, phone calls, emails)
  • Data Entry responsibilities of keeping service hours updated on our shared sheet and also on MyCCA throughout the year
  • Data Entry responsibilities for entering Bright Futures grades (Fall, Spring amp; Summer)
  • Coordinate the math entrance tests for new secondary students
  • Support SC general communications (MyCCA, emails)
  • Coordinate College Rep Visits including communication and setup
  • Keep SC forms and materials updated and available in the front office and MyCCA
  • Assist counselors with student/parent meeting appointments as needed
  • Assist counselors with maintaining student information and files as needed while maintaining confidentiality
  • First hour of the day: assist the Attendance Office by issuing late passes and inputting attendance information
  • Provide coverage for the Attendance Office during lunch, during Block 9 each week, and at other various times of need due to heavy sign in/out traffic
  • Support Upper School Receptionists with general office duties as needed
Reporting Relationship:
This position reports directly to the Lead School Counselor
