Essential Function
The primary responsibility of the Program Assistant is to support the
overall operation of the Office for the Associate Vice President of
Information Systems.
Qualifications
1. High school diploma or equivalent
Responsibilities
1. Enter and submit requisitions for the Information Systems, Network Services, Audio Visual, Desktop Computing, and Performing Arts Center Departments.
2. Prepare action exhibits as needed for submittal to the VP of Business Services for the Board of Trustees monthly meetings.
3. Manage department budget spreadsheet.
4. Develop budget forecasts and monitor expenditures to ensure spending stays within approved limits.
5. Work with vendors to obtain quotes and resolve billing concerns.
6. Manage department's yearly maintenance and lease agreements.
7. Oversee maintenance of office equipment and orders office supplies.
8. Perform duties using database management applications, and other computer systems.
9. Process faculty evaluations through an evaluation application.
10. Maintain calendar, schedule appointments/meetings for department and Associate Vice President.
11. Set up interviews and Zoom calls for job openings.
12. Assist in preparing work area for new staff.
13. Coordinate special projects as directed by the Associate Vice President.
14. Provide administrative support for the Associate Vice President.
15. Primarily works in Microsoft Word, Excel and Outlook.
16. Other duties as assigned
