Job description

Office Assistant

The Office Assistant provides administrative, clerical, and operational support to ensure the efficient functioning of District offices and facilities. This position performs a variety of tasks including mail processing, banking activities, deliveries, inventory management, facilities support, records management, and assistance to multiple departments. The Office Assistant serves as a key support role in maintaining organized and effective daily operations while providing excellent service to internal and external customers.

Reporting To: Administrative Director Department: Administrative/Support Schedule: Monday โ€“ Thursday 6:30am โ€“ 5:00pm

Requirements Include:

  • High school diploma or GED.
  • Minimum of two (2) years of experience providing administrative, technical, professional, or clerical support to staff, or closely related work experience.
  • Intermediate proficiency with Microsoft Excel, Word, and Teams.
  • Basic knowledge of Microsoft Outlook and the operation of general office equipment, including printers, copiers, scanners, postage machines, and related office technology.
  • Possess and maintain a valid Washington State driver's license.
  • Ability to prioritize, manage multiple assignments, and meet deadlines with minimal supervision.
  • Strong organizational skills and attention to detail.
  • Ability to communicate effectively and professionally with employees, customers, vendors, and the public.
  • Ability to maintain accurate records and follow established procedures.
  • Ability to exercise sound judgment, maintain confidentiality, and work independently.

Responsibilities may include, but are not limited to:

  • Demonstrate a strong commitment to KPUD's core values when working alone, within a team, and with internal and external customers.
  • Provide clerical and administrative support to District departments, including filing, scanning, data entry, document management, customer assistance, and special projects.
  • Process and distribute incoming and outgoing mail; prepare mailings; perform bank deposits; and complete deliveries, pickups, and errands at District facilities and other locations.
  • Provide operational support for meetings, training events, records management, facility needs, and other departmental activities.
  • Operate office equipment and District vehicles safely between District facilities and other locations as required in accordance with established policies and procedures.
  • Perform other duties as assigned.
  • Working conditions include regular travel to District facilities, banks, post offices, vendors, and other local destinations. Working in an office environment with moderate noise levels, with occasional exposure to higher noise levels.
