Job description

POSITION SUMMARY

The Office Manager serves as the operational backbone of the School of Business and Technology. This role is responsible for overseeing daily administrative functions, supporting the Dean in executive tasks, managing departmental budgets, and ensuring a professional, welcoming environment for students, faculty, and corporate partners. The ideal candidate is a proactive problem-solver who can navigate the complexities of higher education administration while supporting the school’s growth.


TASKS & RESPONSIBILITIES

Administrative & Executive Support

  • Manage the Dean’s calendar, including scheduling meetings with faculty, university leadership, and external partners (e.g., PGIM, EAB, Moody Foundation).
  • Coordinate departmental meetings, prepare agendas, and record minutes.
  • Serve as the primary point of contact for the SBT, screening calls and greeting visitors.
  • Assist in the preparation of reports, grant proposals, and accreditation documentation.

Academic Operations & Student Support

  • Provide administrative support for the MBA in Data and Business Analytics and undergraduate programs.
  • Assist in the processing of graduation applications and student retention tracking.
  • Coordinate logistics for departmental events, such as Professional Development Week, global immersion trips (e.g., Barbados), and guest speaker series.
  • Manage the hiring and onboarding paperwork for adjunct instructors and student workers.

Financial & Resource Management

  • Monitor and track the SBT budget, including processing purchase orders, travel reimbursements, and faculty stipends.
  • Maintain office supplies inventory and manage equipment maintenance.
  • Assist in tracking grant expenditures and ensuring compliance with university financial policies.

Communication & Outreach

  • Update the SBT website and internal portals with current course schedules and news.
  • Draft and distribute departmental newsletters and announcements to students and faculty.
  • Liaise with other university departments (Registrar, Financial Aid, HR) to resolve administrative hurdles.
  • Bachelor’s degree in business administration, Communications, or a related field.
  • 1 year of administrative or office management experience, preferably in a higher education or executive setting.
  • Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint) and experience with project management tools.

SUPERVISION

  • This position reports to the Dean of the School of Business and Technology

SALARY RANGE

  • $45,000 Annually, plus benefits!

SETTING

Founded in 1875, Huston-Tillotson University is Austin's first institution of higher education. The University is an independent, liberal arts, church-related, historically black institution located on a 23-acre tree-lined campus near downtown Austin, Texas. The University is affiliated with United Methodist Church, the United Church of Christ, and the United Negro College Fund.
