Job description

Essential Functions and Job Responsibilities
  • Setup vessels and create advance notices, maintain vessel log, assign vessels, and create land loads for Trucking Companies.
  • Create vessel folders and print out Advance Shipping Notices for Receiving Supervisor and Trucking Company.
  • Reconciliation of yard and warehouse receiving documents.
  • Receive direct purchase orders.
  • Maintain various reports to assist with end of month reconciliation.
  • Review import documentation from vendors.
  • Documentation storage, physical copy and electronic.
  • Date scheduling, updating dates based on vessel to port and scheduling loads.
Qualifications and Experience
  • Vessel scheduling experience required.
  • Some College Education preferred.
  • Must be able to read import documents from vendors
  • 3-5 years of previous general office experience.
  • Microsoft Office (Word and Excel) experience a plus.
  • Good oral and written communications skills.
Desired Skills and Traits
  • Must be comfortable with interruptions and handling multiple projects and tasks at one time.
  • Flexibility regarding work schedule necessary; some mandatory Saturday work.
  • Accounting background or experience helpful.
  • Data entry and ERP knowledge
  • Familiar with import documentation.
Physical Demands and Working Conditions
  • The employee will regularly be required to sit at a desk for long periods of time.
  • The employee will work on and look at a computer screen for several hours or more every day.
  • Verbal communication is vital between internal and external clients, customers, and employees.
  • Some lifting of 10-25 lbs. will be required on occasion.
