Job description

Full-Time Administrative Assistant / PPT Scheduler

Solterra Academy provides comprehensive special education for students aged 5 to 22 who require intensive intervention due to severe emotional, behavioral, cognitive, developmental, and/or learning challenges. We are committed to fostering a supportive, developmentally appropriate, and individualized learning environment that promotes each student's academic growth and personal success.

Are you organized, welcoming, and detail-oriented? Solterra Academy is seeking a Full-Time Administrative Assistant / PPT Scheduler to support our SAS Office and ensure smooth coordination of PPT meetings, visitor screening, and essential administrative tasks.

Schedule: Monday to Friday, 7:00 AM – 3:30 PM (In-Person) Starting Hourly Rate: $20.00, commensurate with experience

Please note: This position requires a year-round commitment, including both the regular school year and our summer session. We do not offer summer-only employment.

Responsibilities
  • Coordinate Annual, Triennial, and Program Review PPTs in collaboration with districts and school teams
  • Manage calendar invites, meeting logistics, room reservations, and weekly PPT schedule updates
  • Screen and direct visitors to ensure a safe, welcoming SAS reception area
  • Support Admissions, HR, and the Assessment Center with visitor flow and communication
  • Maintain archives and student records according to Solterra's retention standards
  • Prepare and distribute IEP-related documents, reports, letters, and classroom correspondence
  • Enter and maintain accurate student data, service logs, climate documentation, and backup incident reporting
  • Communicate effectively and respectfully with staff, families, and district partners while supporting a positive school culture
  • Support Solterra Academy's mission, vision, and values
  • Adhere to all school policies and state/federal regulations
Requirements
  • High School Diploma or GED required
  • Associate's or Bachelor's degree preferred
  • 2–3 years of relevant administrative experience
  • Proficiency in Microsoft Word, Outlook, and Excel required
  • Experience in a school or special education setting preferred
