Position Overview:

The Sample Library Coordinator typically has a multifaceted role that combines elements of samples inventory management, and coordination of sales, receiving and shipping in relation to samples and stocked accessories.

Minimum Job Functions and Qualification Requirements:

  • Process and organize incoming vendor shipments with samples team.
  • Process, relabel, and photograph custom CFAs and strike-offs for client orders.
  • Quality control for incoming samples, stocked accessories, and customer orders.
  • Support sample team in shipping showroom replenishments, web orders and clients sample requests.
  • Ship custom CFAs and strike-offs for client orders.
  • Package and ship all client orders & memo reserves from Norwalk showroom.
  • Track and follow up on shipments sent from Norwalk showroom.
  • Responsible for the presentation and quality of all items that leave the office, making sure labels are correct, products are packaged properly, personal notes are included, when necessary, etc.
  • Assist in maintaining organization of sample room, and storage area with Samples Team.
  • Quarterly stocked accessories inventory reconciliation for all showrooms with accessories on consignment.
  • Replace sold accessories on consignment for all showrooms.
  • Quarterly fabric and rug sample inventory reconciliation with Samples team.
  • Maintain stock levels of sampling supplies and ordering supplies such as pillow inserts, labels, and U-Line products.
  • Responsible for creatively solving problems to enhance operational efficiency and drive results.
  • Assist in training and delegating tasks when onboarding new Sample Coordinators.
  • Undertake additional duties as assigned.
  • Bachelor’s Degree preferred, or a combination of education and relevant work experience in a similar role.
  • Previous inventory management experience in design, fashion, manufacturing, or similar industry, preferred.
  • Must be meticulous with strong attention to details and accuracy in managing inventory and cataloging items.
  • Excellent communication skills, both verbal and written.
  • Excellent computer skills required.
  • Proficiency in managing and tracking inventory, including the use of inventory management software.
  • Must work well with the team collaboratively to support smooth operations and strong coordination.
  • Must be able to manage time effectively, quickly identify priorities, and shift between tasks with ease.
  • Must possess excellent analytical, critical thinking, and problem-solving skills.
  • Must be able to work on-site 5 days per week.
  • Ability to lift and move sample containers or boxes up to 50 lbs.
  • Prolonged periods of sitting or standing, and the ability to use computer systems for extended periods.

Work location: Norwalk, CT

Schedule: Monday-Friday, In-person, 9am-5pm

Salary: $25 per hour, plus EBITDA Bonus Eligibility of up to 3% of base salary
