Job description

Sample Coordinator / Quality Control Coordinator

Job Summary

The Sample Coordinator supports the Sales and Quality Control teams by ensuring customer samples and products are accurately prepared, inspected, organized, tracked, reviewed, and delivered on time. This position serves as a key point of coordination for sample requests and quality-related activities, working closely with Sales, Planning, Production, Purchasing, and Quality Control.

The Sample Coordinator helps monitor sample and inspection activity, communicates status, delays, and issues as needed, maintains accurate inventory and quality records, and supports the overall workflow of the Quality Control area. This position requires strong organization, attention to detail, follow-through, and the ability to work effectively in a fast-paced manufacturing environment.

Supervisory Responsibilities

  • Provides day-to-day work direction, training, and support to Quality Control team members and temporary employees.
  • Trains new employees and temporary staff on inspection procedures, quality standards, and customer-specific protocols.
  • This position does not have formal authority to hire, terminate, discipline, set compensation, or independently make employment decisions unless specifically delegated by management.

Duties and Responsibilities

  • Train Quality Control team members, including new hires and temporary employees, on inspection procedures, quality standards, and customer protocols.
  • Coordinate daily workflow in the Quality Control area to help ensure inspections are completed accurately, timely, and in accordance with established procedures.
  • Inspect incoming materials, in-process production, and finished goods for defects, deviations, and compliance with established specifications.
  • Track and document product defects, rework activity, and inspection results in the WMS, Excel logs, and other required records.
  • Assist in identifying the causes of product defects, nonconformances, and rework issues.
  • Inspect samples using appropriate methods, including comparison to standards, measurement, and functional review.
  • Complete inspection reports, logs, and related documentation accurately and in a timely manner.
  • Route products for rework when needed and complete required documentation to verify status and disposition.
  • Perform final quality checks on finished products in accordance with established specifications and procedures.
  • Review customer and Sales sample requests with the QC Manager to help ensure recipe sheets and sample requirements are accurate.
  • Coordinate sample-related activities with Sales, Planning, Production, Purchasing, and Quality Control.
  • Monitor sample status and communicate updates, delays, and issues to appropriate team members.
  • Send daily recaps summarizing completed work, open issues, and quality concerns identified during the shift.
  • Conduct monthly audits of Inspection Area inventory and related records.
  • Maintain accurate sample and inspection records and help ensure materials are properly organized and accounted for.
  • Help coordinate sample shipments and ensure required documentation is completed.
  • Maintain a safe work environment by following company procedures, safety requirements, and established work practices.
  • Help ensure compliance with customer-specific protocols, internal procedures, and quality expectations.
  • Perform other related duties as assigned.

Qualifications

  • Strong attention to detail and ability to identify defects, inconsistencies, and deviations from established specifications.
  • Working knowledge of quality inspection methods, manufacturing processes, and standard operating procedures.
  • Ability to complete inspection records, quality logs, and related documentation accurately and timely.
  • Basic computer proficiency, including Microsoft Office; Excel experience preferred.
  • Ability to communicate clearly and professionally with team members, supervisors, and cross-functional partners.
  • Ability to work effectively in a fast-paced production environment while managing multiple priorities.
  • Ability to follow established procedures, reinforce quality expectations, and support day-to-day workflow in the QC area.
  • Strong organizational and follow-through skills.
  • Ability to coordinate multiple sample and inspection requests while maintaining accurate records.
  • AQL knowledge is a plus.
  • Bilingual skills are a plus.

Education and Experience

  • High school diploma or GED required.
  • Two to three years of experience in a manufacturing, production, or quality control environment preferred.
  • Prior experience performing inspections, documenting defects, and maintaining quality records preferred.
  • Experience working with samples, production materials, inventory, or product quality is a plus.
  • Previous experience providing work direction or training to employees or temporary staff is preferred.

Physical Requirements

  • Ability to stand and walk for extended periods throughout the workday.
  • Ability to bend, reach, stoop, and move throughout the work area as needed.
  • Ability to handle, examine, and evaluate materials and finished products.
  • Ability to visually inspect products and identify defects, inconsistencies, or deviations from specifications.
  • Ability to work in a manufacturing or production environment.
  • Ability to perform repetitive inspection and documentation tasks as required
