SUMMARY

This role supports the management of the organization's software assets across their lifecycle, ensuring accurate tracking of entitlements, deployment, usage, and retirement while improving visibility, compliance, and license optimization.

DUTIES AND RESPONSIBILITIES

May include, but are not limited to, the following:

  • Manage software assets across the organization by supporting the full life cycle, including request, procurement, deployment, usage tracking, optimization and retirement of software across North America.

  • Maintain accurate and reliable software inventory and license records to support reporting, compliance, audits, and business stakeholders.

  • Track software entitlements and usage to ensure license compliance and highlight optimization opportunities.

  • Identify and help address normalization gaps by ensuring software data is standardized and aligned within SAM tools.

  • Monitor discovery coverage and work with IT teams to improve visibility across endpoints, servers, and cloud environments.

  • Support timely reclamation of unused or underutilized licenses to reduce waste and improve cost efficiency.

  • Assist in improving contract visibility by maintaining organized records of software agreements, renewals, and key terms.

  • Perform periodic internal audits and support audit readiness activities; document findings and assist with remediation efforts.

  • Investigate discrepancies in software usage and licensing data, perform root cause analysis, and provide recommendations.

  • Collaborate with IT, procurement, finance, and security teams to support SAM processes and ensure alignment.

  • Recommend and contribute to continuous improvements in SAM processes, tools, and reporting capabilities.

  • Utilize SAM tools (e.g., ServiceNow & other available tools) for tracking, analysis, and reporting.

  • Any additional responsibilities or tasks as necessary.

EDUCATION, EXPERIENCE AND QUALIFICATIONS

  • Minimum 3-5 years' experience in Software Asset Management (SAM) or IT Asset Management with a focus on software lifecycle and license management.

  • College degree in a related field fo study is required.

  • Excellent verbal and written communication skills.

  • Experience using SAM or inventory management tools to manage software assets, track entitlements, and generate reports (e.g., ServiceNow ,SAP, spreadsheets).

  • Familiarity with software licensing models, enterprise applications, and environments including desktop, server, cloud, and SaaS platforms.

  • Understanding of common SAM challenges such as normalization gaps, discovery coverage, reclamation delays, and contract visibility.

  • Self-starter, yet willing and able to take and execute direction when needed.

  • Works well in a team environment.

  • Preferred certifications (added advantage): Certified Software Asset Manager (CSAM), ITIL Foundation, Certified IT Asset Manager (CITAM), or relevant SAM tool certifications (e.g., ServiceNow SAM ).

PHYSICAL DEMANDS

While performing the duties of this job, the employee is frequently required to sit; stand; walk; use hands to touch, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stoop, kneel, or crouch. The employee must regularly lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

WORK ENVIRONMENT

The noise level in the work environment is usually moderate as normally based in an office. Some of the work may be required in the operating units which can require usage of required PPE including safety glasses, hearing protection, etc. May also result in exposure to outside elements and may require usage of stairs and elevators. Travel including air travel or auto travel may occasionally be required.
