Sales Estimator / Project Manager

Position Summary

We are seeking a driven and detail-oriented Sales Estimator / Project Manager to join our commercial construction team. This hybrid role spans the full project lifecycle — from vetting bid opportunities and building estimates, through contracting and preconstruction, to managing projects through final invoicing. The ideal candidate thrives in a fast-paced environment, takes pride in winning work, and is equally committed to delivering it profitably. Market focus is commercial construction in Arizona or as assigned.

Key Responsibilities

Business Development

  • Vet, track, and organize incoming bid opportunities from repeat customers and new leads
  • Proactively seek new business and customers in the Arizona commercial construction market (or assigned territory)
  • Build and maintain relationships with general contractors, developers, and owners to grow the customer base
  • Maintain 100% compliance in FollowUp CRM, ensuring all sales leads, bid opportunities, and pipeline activity are accurately logged and kept up-to-date on a weekly basis; no lead or bid is to go untracked or fall behind in the system

Estimating

  • Perform thorough plan reviews, quantity take-offs, and material and labor cost build-ups
  • Conduct margin analysis and develop competitive bid strategies
  • Prepare and submit polished, accurate bid packages and proposals on time
  • All bids exceeding $50,000 in contract value must be reviewed and approved by the Director of Sales or Regional Vice President prior to submission
  • Bid margins must align with thresholds established by the Director of Sales / Regional Vice President; submitting a bid below authorized margin levels is not permitted without prior written approval from the Director of Sales or Regional Vice President

Contracting & Pipeline Management

  • Conduct bid follow-up and maintain pipeline analysis to convert awarded bids into signed contracts
  • Negotiate scope, terms, and pricing to close won opportunities
  • Coordinate with Estimating and Accounting teams to turn signed contracts into open jobs in the system; upon contract award, initiate handoff to the Director of Preconstruction and the Precon team to commence project turnover, scheduling, and execution — material procurement is the responsibility of the Preconstruction team
  • Contract signing authority is as follows: awarded contracts valued between $0–$100,000 are to be signed by the Director of Sales; any contract exceeding $100,000 in value must be signed by the Regional Vice President

Preconstruction (Pre-Con)

  • Coordinate with the Director of Preconstruction and the Precon team to lead project turnover meetings and hand-offs with Superintendents, translating bid data into complete execution-ready project packages
  • Prepare and manage submittals and shop drawings; establish project files, safety documentation, and client compliance paperwork
  • Handle bonding, pre-qualification, and client onboarding requirements
  • Conduct site visits with Superintendents for scope verification and project scheduling prior to mobilization

Project Management

  • Manage labor scheduling throughout project execution; material procurement is handled by the Preconstruction team
  • Issue, negotiate, and track Change Orders; maintain schedule of values (SOV) and project cost controls
  • Serve as the primary point of contact for client communication during project execution
  • Oversee invoicing milestones and ensure timely, accurate billing through project closeout

Skills & Competencies

  • Proven ability to read and interpret construction plans, specifications, and scopes of work
  • Strong estimating skills with demonstrated track record of winning competitive bids
  • Ability to manage multiple projects and competing deadlines simultaneously
  • Excellent written and verbal communication skills for client, subcontractor, and team interaction
  • Detail-oriented with strong organizational and time management skills
  • Proficiency with Microsoft Office Suite; experience with construction or estimating software preferred (e.g., Procore, Bluebeam, Sage)
  • Ability to work cross-functionally with field Superintendents, estimating, and accounting teams
