Position Summary
The Safety Administrator provides administrative support to the Safety Department by maintaining accurate safety records, coordinating training documentation, supporting compliance initiatives, and assisting with contractor prequalification requirements. This position plays a vital role in ensuring safety information is organized, up to date, and readily available while supporting company compliance with internal policies, customer requirements, and regulatory standards.
Essential Functions
  • Process and submit employee accident reports to insurance carriers in a timely and accurate manner.
  • Collect, organize, and maintain accident reporting documentation from managers and field personnel.
  • Track employee safety training completion and maintain accurate training records.
  • Enter safety training data into company databases and learning management systems.
  • Scan, file, and electronically store completed safety training tests and related documentation.
  • Create and distribute safety training cards, certifications, and other training credentials.
  • Assist with contractor prequalification processes by gathering and organizing required documentation.
  • Maintain and update company information on contractor compliance platforms, including Avetta, ISNetworld (ISN), Highwire, and other customer-required systems.
  • Update and maintain the Safety SharePoint site to ensure employees have access to current policies, procedures, forms, and training materials.
  • Request, collect, and compile safety metrics, reports, and other information from managers and department leaders.
  • Maintain electronic and paper safety records in accordance with company retention requirements.
  • Assist with preparing reports, audits, and documentation for safety meetings, inspections, and regulatory compliance.
  • Other duties as assigned

Qualifications
  • High school diploma or GED required; Associate's degree in Business Administration, Occupational Safety, or a related field preferred.
  • Two or more years of administrative experience, preferably in a safety, construction, manufacturing, or industrial environment.
  • Experience working with document management systems, databases, or compliance platforms is preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proficient in Microsoft Office Suite, particularly Excel, Word, PowerPoint, and SharePoint.
  • Ability to learn and maintain data within multiple third-party compliance platforms.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Self-motivated with the ability to work independently while collaborating effectively with managers and employees across the organization.
