Job description

Whitecap Search is seeking a dynamic and experienced professional to oversee the production of both retail space and offsite events. This role involves managing all aspects of event execution, from the initial partnership agreement to post-event evaluation. Our events vary widely, including trail races, panel discussions, yoga classes, and multi-day content captures. The successful candidate will be the primary point of contact for all event-related activities associated with our brand.

Responsibilities:
  • Own production timelines and budgets across concurrent activations, managing 4-5 projects simultaneously.
  • Create and manage run of show, floor plans, call sheets, crew plans, and oversee day-of operations.
  • Source, negotiate with, and manage vendors, including staffing, AV, fabrication, catering, and photo/video services.
  • Handle permits, certificates of insurance, venue agreements, and site logistics.
  • Coordinate talent, product, and partner deliverables both inbound and outbound.
  • Track spending against budget and reconcile post-event.
  • Serve as the daily operational contact for brand partners.
Requirements:
  • At least 4 years of experience producing live events and brand activations for experiential marketing.
  • Proven track record of independently running events for several hundred people with significant brand implications.
  • Proficiency in NYC production, including permitting, venues, union considerations, and vendor landscape.
  • Strong financial acumen with budget management and paperwork.
  • Ability to confidently make decisions and say no when necessary.
  • Calm and clear-headed under pressure on site.
  • Experience with running, outdoor, or sport activations is a plus.
