Job description

Kraemer North America is currently looking for an Administrative Assistantย to join our National Railroad Group (NRG) in Eau Claire, WI. The Administrative Assistant performs various accounting and clerical duties and assists project management in maintaining efficient job site and office operations while providing customer assistance. You will have the opportunity to work alongside our office staff and operations team to support successful completion of diverse projects within the construction industry. This is a part-time position, up to 20 hours per week.

Responsibilities

  • Assist with the onboarding of new hires for the NRG: paperwork, orientation, railroad training, background checks, etc.
  • Assist Safety team with tracking various paperwork and scheduling appointments as necessary
  • Manage and process NRG expenses to include reconciliation of company credit cards and employee expense reports
  • Compare vendor/subcontractor invoices to purchase orders or contracts to verify quantities, price, payment terms, freight charges, extensions, etc.
  • Compute discounts, make sales/use tax determinations and place invoices in line for payment
  • Establish and maintain files in accordance with KNA filing protocol, as directed by supervisor for payroll, accounts payable, general accounting documents and jobsite filing system
  • Set up company travel for NRG employees and various other events (team building outings, social gatherings, career day visits, etc.)
  • Prepare various daily, weekly, monthly, annual and job-to-date reports; generate reports and schedules through job costing/accounting system
  • Assist Foreman and superintendents with field related concerns to include project set up
  • Manage NRG calendar (vacation, school visits, etc.)

  • Knowledge of general office procedures
  • Effective interpersonal, written and verbal communication skills

  • Strong decision making and problem-solving skills
  • Team player with the ability to work independently and take initiative
  • Experience with Microsoft Suite products, Outlook, Viewpoint, Bluebeam and Expedition
