The Marketing Operations Specialist provides coordination, administrative, and execution support across Marketing Communications, enabling teams to operate efficiently and consistently. This role focuses on managing logistics, tracking details, supporting established workflows, and coordinating with internal and external stakeholders once strategy and direction have been defined.

By handling the operational and administrative aspects of marketing work - including coordination, documentation, tracking, and routine execution - the Marketing Operations Specialist helps improve efficiency, consistency, and visibility across marketing initiatives. This role supports the full lifecycle of marketing execution, ensuring work moves forward smoothly, accurately, and on schedule while allowing marketing leaders and strategists to focus on strategic planning, messaging, creative direction, and stakeholder engagement.

MINIMUM REQUIREMENTS

Education: Bachelor's degree in Marketing, Communications, Journalism, or a related field, or equivalent experience.

Experience: 2+ years of experience in marketing, communications, administrative support, or a related coordination-focused role.

Travel: 5-10%

Work Schedule: This position works between the hours of 7 am and 5 pm, Monday through Friday. Overtime may be required.

KEY RESPONSIBILITIES

Marketing Execution & Coordination

  • Supports the execution of marketing initiatives once strategy, messaging, and direction have been defined.
  • Coordinates logistics, schedules, materials, and resources to support marketing work across teams and channels.
  • Partners with internal stakeholders to ensure marketing activities are planned and executed with minimal disruption to daytoday operations.
  • Coordinates with external vendors, partners, and service providers to support marketing execution needs.
  • Builds working knowledge of marketing workflows, tools, and channels to support accurate and consistent execution.

Project, Workflow & Detail Management

  • Maintains project plans, trackers, calendars, and documentation to ensure timelines, deliverables, and ownership are clear and current.
  • Tracks deadlines and follow up with stakeholders to support ontime completion; flag risks, conflicts, or blockers as needed.
  • Supports intake, routing, and coordination of marketing requests through established workflows.
  • Assists with review and approval processes by organizing feedback, documentation, and final deliverables.

Asset, Logistics & Inventory Support

  • Coordinates the preparation, assembly, and distribution of marketing materials, collateral, and assets.
  • Supports management of marketing-related inventory, equipment, and materials as applicable to assigned focus areas.
  • Ensures assets and materials are returned, stored, or replenished appropriately following use.
  • Maintains accurate records related to marketing assets, permissions, releases, and documentation.

Financial, Tracking & Administrative Support

  • Supports processing, tracking, and documentation related to marketing spend, including orders, invoices, sponsorships, donations, memberships, or subscriptions as assigned.
  • Maintains tracking tools and records to support visibility into marketing-related expenses and commitments.
  • Assists with coordination and documentation for event- or initiative-based marketing support.
  • Schedules meetings, coordinate availability, prepare agendas, facilitate stand-up meetings, and document notes or action items as needed.
  • Communicates clearly and professionally with internal teams, vendors, and partners
  • Performs other related duties as required and assigned.
