We have an excellent opportunity for a full-time Administrative Assistant III based in our *Irvine, CA office. This position will support the administrative needs for the Department Head of Human Resources, as well as the HR department needs.
*This role is based full time in office. Must be interested in permanently relocating to the Franklin, TN area with the Department Head of Human Resources during Summer 2027 (timing is flexible)
General Responsibilities
  • Be responsible for all administrative tasks to support the Department Head of Human Resources.
  • Assist with organizing calendars, including planning meetings, setting up travel, and arranging daily appointments.
  • Be available to assist with questions or concerns fielded towards the Department Head and when necessary, relay them to her or to the appropriate person(s).
  • Answer phone calls and inform the Department Head of any important messages that are received.
  • Assist with coordinating daily tasks to optimize workflow.
  • Manage travel expenses and receipts, using travel and expense management software (i.e. Concur).
  • Project Management & Coordination of cross-functional strategic projects, tracking milestones, deadlines, and deliverables. Coordinate between stakeholders to ensure project execution. Proactively identify potential roadblocks and propose solutions to keep project momentum on track. Create regular project status updates.
  • Assist with coordinating department special events, including parties and lunches
  • Regularly provide reports and analyze financial data for the Department Head.
  • Prepare, create and edit meeting materials, including PowerPoint presentations and booklets for C-level and Executive meetings.
  • Strive to develop strong working relationships with many individuals throughout the company as an extension of Department Head and the HR department as a whole.
  • Be part of a team-oriented department and assist in other areas as needed.

  • Office Hours: Monday-Friday, 8:00 am-5:00 pm
  • Pay Range is: $33.30-$40.00 per hour

Qualifications
  • High School Diploma required. Vocational Training, AA Degree or Bachelor's degree in Business Administration or related field, preferred.
  • 5+ years' experience in relevant administrative experience in HR, Legal, Risk, Finance or similar department.
  • In-N-Out Burgers Store experience is preferred.
  • Proven ability to work on multiple projects simultaneously while remaining organized, detailed, and flexible; Strong organizational tendencies.
  • Ability to thrive in a fast-paced and high-pressure environment.
  • Friendly demeanor and positive attitude.
  • Proficient with MS Outlook, Word, and Teams; Advanced skills with Excel and PowerPoint (required).
  • Experience with Project Management and use of Project Management software (Asana preferred).
  • Experience with expense management software (Concur preferred).
  • Excellent written and verbal communication skills.
  • Ability to communicate and interact professionally with all levels of management.
  • Act as a trusted partner to management, displaying the highest levels of integrity and confidentiality.
  • Proven history of providing outstanding customer service while proactively troubleshooting and problem solving.
  • Ability to work autonomously/independently, yet be an integral part of an overall team environment.
  • Desire to learn constantly, and willingness to try new approaches to administration.

Qualifications for INO associates
  • In-N-Out Store experience: 2+ years (past or current Store experience) highly preferred.
  • In-N-Out Support experience: 2+ years in a Support, Administrative or Office role
  • Interest in supporting an Arrow leader that works with the Human Resources Department, including Employee Relations, Compliance, Benefits, Talent Acquisition, Compensation, Learning and Development, Enablement, HRIS and the Associate Support Center.

Work Location Details
In-N-Out Burger plans to bring its west coast headquarters team back together under one roof by the end of 2029. After maintaining two Southern California office locations for many years, the company will permanently close its Irvine office in 2029 and once again headquarter the company's western territory solely in Baldwin Park, California, where the company was founded in 1948.
Newly hired Associates in Irvine will be eligible to participate in the group move to Tennessee with relocation assistance or work from our western headquarters in Baldwin Park, CA, upon its opening in 2029. We are sharing this information early so candidates can make informed decisions while considering a career with In-N-Out Burger.
