This on site, ATA Carnet Assistant, located in Los Angeles, CA, will be responsible for issuing and printing carnets. This will include collecting ATA Carnet application information, creating and issuing ATA Carnets, logging, tracking, returning, and resolving claims.

Location: Los Angeles, CA (On Site)

Work Schedule: Schedule fluctuates based on workloads (Core hours 9AM-5PM). Rotation of on-call weekend responsibilities. Note this role requires the employee to be in office 5 days a week (Monday through Friday).

Key Responsibilities:

ATA Carnet Documentation

  • Issuance, processing and completeness of ATA Carnets for clients.
  • Verify that all ATA Carnet applications and shipments are accurate and compliant with international customs regulations, including the correct use and return of carnets.

Client Communication

โ€ข Answer queries from clients regarding the ATA Carnet process, timelines, and regulations.

โ€ข Provide guidance to clients, team members and colleagues on ATA Carnet regulations and requirements on the use of ATA Carnets.

Reporting & Documentation

โ€ข Maintain detailed and accurate records of all ATA Carnet transactions, including issuance, usage, and returns.

โ€ข Monitor and track the expiry and return of ATA Carnets to avoid any penalties or non-compliance issues.

โ€ข Prepare regular reports on the status of ATA Carnet usage.

Problem Resolution

โ€ข Investigate and track any discrepancies in carnet usage and ensure that they are resolved promptly.

โ€ข Address any issues related to ATA Carnet non-compliance, including liaising with ATA Carnet Guarantee Associations and customs authorities to resolve disputes or discrepancies related to ATA Carnet shipments and avoid penalties.

Qualifications:

โ€ข In-depth knowledge of ATA Carnet procedures, customs regulations, and international trade practices a plus.

โ€ข Excellent communication skills; written and verbal.

โ€ข Solid interpersonal and customer skills and ability to collaborate across departments.

โ€ข Strong organizational, along with attention to detail, and prioritization skills.

โ€ข Ability to multi-task and handle time-sensitive issues.

โ€ข MS Office Suite, intermediate Excel skills.

โ€ข Flexibility with possible overtime.
