Arcetyp LLC is looking for an Administrative Assistant (Front Desk / Data Entry) Onsite at Robins AFB GA to support a US Government client. All work under this contract shall be performed at the Government site. This work is full time onsite at Robins AFB GA.


Position Overview

The Administrative Assistant (Front Desk / Data Entry) provides essential customer service, administrative, and data management support to the Military & Family Readiness Center (M&FRC) at Robins Air Force Base. This position serves as the primary point of contact for clients, delivering professional front desk reception services, coordinating scheduling for programs and services, and maintaining accurate data within Air Force and Department of Defense systems. The role requires strong organizational, communication, and technical skills to ensure efficient service delivery, accurate reporting, and compliance with performance standards. The Administrative Assistant operates in a dynamic, customer-facing environment supporting military members and their families, ensuring timely assistance, professional interactions, and high-quality administrative execution.


Position Functions / Roles

Customer Service and Front Desk Operations

  • Serve as the primary point of contact for M&FRC clients, greeting visitors and answering telephone calls
  • Determine client needs and direct individuals to appropriate program staff or services
  • Provide clear and accurate information regarding M&FRC programs, services, and scheduling
  • Maintain a professional, organized, and welcoming front desk environment

Scheduling and Program Support

  • Schedule clients for classes, workshops, and Transition Assistance Program (TAP) services
  • Coordinate appointment availability and communicate scheduling details to clients
  • Send reminder communications (e.g., emails) in accordance with program timelines

Data Entry

  • Input and maintain accurate client and program data in AFFIRST and other designated systems
  • Ensure data accuracy meets required performance thresholds (e.g., 85% accuracy within required timelines)
  • Maintain current and complete records in accordance with program requirements
  • Generate monthly reports on client usage and service metrics

Administrative and Reporting Support

  • Maintain records of client sign-ins and service utilization
  • Prepare and submit recurring reports to the M&FRC leadership and Contracting Officer Representative (COR)
  • Support general administrative functions including document preparation and data tracking

Performance and Quality Assurance

  • Meet established service standards, including responsiveness to customer interactions and accuracy of work
  • Ensure all tasks are completed in accordance with PWS requirements and performance metrics
  • Maintain professionalism and adherence to Government policies and procedures

Security and Compliance

  • Safeguard Government information, equipment, and systems
  • Comply with Privacy Act requirements and all applicable security protocols
  • Participate in required training and maintain compliance with installation and system access requirements

Coordination and Communication

  • Work closely with Government personnel, program managers, and M&FRC staff
  • Communicate effectively with a diverse client population including military members and families
  • Support awareness and utilization of M&FRC programs and services


Background Required

  • Demonstrated ability to work in an administrative, customer service, or office support environment
  • Familiarity with standard office operations, scheduling processes, and client service workflows
  • Working knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and web-based applications
  • Ability to operate data entry systems and maintain accurate electronic records
  • Understanding of professional office etiquette and front desk operations
  • Basic awareness of military environments, family readiness programs, or government service environments preferred
  • Ability to obtain and maintain installation access, including a Common Access Card (CAC), and comply with DoD security and information assurance requirements

Experience Required

  • Minimum of one (1) year of customer service experience in a professional environment
  • Experience performing administrative or clerical duties such as scheduling, data entry, or customer interaction
  • Experience using computer-based systems for record keeping, scheduling, or reporting
  • Demonstrated ability to manage multiple tasks, prioritize workload, and meet deadlines in a structured environment
  • Experience interacting with diverse populations and providing clear, accurate information to customers
  • Experience maintaining accuracy and attention to detail, particularly in data entry or reporting functions

Certifications / Credentials Required

  • No formal professional certifications required
  • After hiring, must successfully complete:
    • DoD Information Assurance (IA) training and/or exam for system access
    • Installation access requirements including background screening
    • Any required Government-provided system training (e.g., AFFIRST, TAP systems)
  • Ability to obtain and maintain a Common Access Card (CAC)
  • Compliance with Privacy Act requirements for handling sensitive information



    Min. Citizenship Status Required: U.S Citizenship and must be meet suitability screening for working in a federal government environment, must pass a background check.
