JOB TITLE: Executive Assistant

Job Summary: We are seeking a highly personable, dependable, and organized Executive Assistant to join our team. The ideal candidate will be a multitasker with excellent communication skills, will need a friendly demeanor, and the ability to leave a great first impression. This role is vital to our daily operations, providing support to executives and interfacing with various departments and external partners.

Key Responsibilities

· Serve as the first point of contact for our visitors, providing a professional and welcoming environment.

· Ability to review customer purchase orders/contracts, ensuring compliance and accuracy in alignment with company standards as required.

· Interface with customers and representatives as required, maintaining professional and courteous communication.

· Enter and process customer orders/contracts in a timely manner.

· Respond promptly to customer inquiries, providing information, updates and support as needed.

· Monitor and track repairs and Return Material Authorizations (RMA), ensuring timely processing and communication with customers.

· Maintain organized filing systems for contracts, correspondence, and other important documents.

· Assist executives with daily tasks, including clerical duties, scanning documents, filing, maintaining data, scheduling meetings, preparing reports and coordinating various breakfast and lunches.

· Collaborate with team members to support company initiatives and objectives.

· Manage incoming and outgoing phone communications, ensuring calls are directed appropriately and messages are handled promptly and professionally.

· Maintain and coordinate company calendar, schedule meetings, appointments, and events to ensure efficient time management.

· Monitor and maintain office supplies inventory, placing orders as needed to ensure the office remains well-stocked and operational.

· Work closely with Sales team as needed.

Required Qualifications:

· Proven experience as an Executive Assistant, Administrative Assistant or in a similar role.

· Exceptional interpersonal skills; personable, approachable and friendly.

· Strong multitasking abilities and high attention to detail.

· Excellent verbal and written communication skills.

· Ability to work independently and as part of a team.

· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software.

· Dependable, with a strong work ethic and a commitment to meeting deadlines.

·  Experience with contract review is preferred.

· Bilingual in English and Spanish is highly preferred.

· Strong organizational skills with the ability to manage multiple tasks efficiently.
