COMPENSATION: $50K-$60K salary



Overview:


Our client is a growing, relationship-focused wealth management firm seeking a proactive and highly organized Operations Coordinator to help strengthen and scale the firm's operational infrastructure. This individual will play a key role in improving internal processes, supporting technology initiatives, and ensuring the business operates efficiently as the firm continues to grow.


Working closely with leadership, the Operations Coordinator will help optimize workflows, maintain operational consistency, support business initiatives, and contribute to an exceptional client experience. This is an excellent opportunity for someone who enjoys creating order, leveraging technology, solving problems, and continuously improving how work gets done.



Key Responsibilities:


Operations & Process Management:


  • Coordinate and improve operational workflows across the practice
  • Develop, document, and maintain standard operating procedures (SOPs)
  • Identify opportunities to improve efficiency and support automation initiatives
  • Monitor operational priorities, recurring business activities, and special projects
  • Assist with implementing operational initiatives that support firm growth and scalability



Technology & Systems:


  • Serve as an internal resource for Redtail CRM and other core technology platforms, including RightCapital and DocuSign
  • Maintain workflows, templates, reports, and system documentation
  • Coordinate technology enhancements and vendor support
  • Help ensure systems are utilized consistently and effectively across the team
  • Assist with technology implementations and process improvements



Documentation & Business Support:


  • Maintain operational documentation, workflow guides, and training materials
  • Coordinate the firm's recurring client service calendar and operational initiatives
  • Support website updates, operational projects, and business continuity efforts
  • Assist with vendor relationships and ongoing data organization
  • Help ensure documentation remains accurate, organized, and up to date



Operational Support:


  • Develop expertise in account administration, paperwork workflows, and operational procedures
  • Support quality control efforts to improve accuracy and efficiency
  • Coordinate with custodians, technology providers, and business partners to resolve operational matters
  • Assist with operational projects that improve team productivity and enhance the client experience
  • Provide general operational support to leadership and the advisory team as needed



Qualifications:


  • 3+ years of operations, client service, business administration, or financial services experience preferred
  • Experience within wealth management, financial planning, investment operations, banking, or another professional services environment strongly preferred
  • Highly organized with exceptional attention to detail
  • Strong project management, analytical, and problem-solving skills
  • Excellent written and verbal communication skills
  • Experience with CRM systems and business technology platforms; Redtail CRM, RightCapital, and DocuSign experience is a plus
  • Proficient with Microsoft Office and cloud-based business applications
  • Self-motivated, resourceful, and comfortable managing multiple priorities in a collaborative, fast-paced environment
  • Passion for continuous improvement and building scalable operational processes
