Office Administrator - Billing

We are currently seeking a team member who believes in the "extra mile" philosophy to fulfill our Office Administrator role.

The Office Administrator for Snider Fleet Solutions serves as the first point of contact for internal and external inquiries to Snider Fleet Solutions. The Office Administrator will manage day to day administration and oversight of Corporate Headquarters.

What You'll Do on a Typical Day:

  • Greeting and welcoming visitors: responsible for providing a warm and friendly welcome to scheduled guests, clients, or employees visiting Snider Fleet Solutions.
  • Answering and directing phone calls: handle incoming calls that are not directed through the call directory, forward them to the appropriate individuals or departments, and provide basic information or assistance as required.
  • Managing inquiries: handle inquiries from visitors or callers, providing information about the organization, its services, or directing them to the appropriate resources.
  • Maintaining the common areas, including but not limited to the reception, kitchen and conference areas: ensure the areas are clean, organized, and presentable.
  • Handling mail and deliveries: responsible for sorting and distributing incoming mail, packages, and deliveries to the appropriate recipients within the organization. Coordinate supply ordering for mail and delivery accounts.
  • Executive appointment and meeting scheduling and assist office with scheduling of conference rooms and meeting preparation including organizing hospitality.
  • Maintaining security and confidentiality: play a crucial role in maintaining security protocols, ensuring authorized access to the premises, and safeguarding sensitive information.
  • Manage scope of work and billing for contract labor, cleaning crew and other facility improvement projects. Serve as Liaison to Facilities Manager and some service providers directly. Assist in arranging repairs and maintenance as needed.
  • Manage general office functions: including ordering of supplies, coordination with office teams for supporting the maintenance of standard office equipment.
  • Displaying professionalism and excellent communication: represent the organization and must possess excellent verbal and written communication skills, along with a professional demeanor.
  • Coordinate volunteer activities and employee events throughout the company to ensure efficiency and maintain compliance with company policy.
  • Provide Executive support as needed, manage agendas, travel plans and appointments for Management Team.
  • Handling administrative and clerical duties as needed to support the smooth functioning of the office.
  • Submit reports and prepare proposals and presentations as needed to support Executive Leadership.
  • Miscellaneous errands, special projects and team support as needed.

This position is based at the company's corporate office. The majority of this position will consist of normal office tasks and interaction amongst peers and Snider branches. Overnight and out of market travel to other Snider locations and customers is less than 25%. When traveling to Snider locations, the employee is occasionally exposed to moving mechanical parts/equipment, fumes, or airborne particles, and the noise level is usually moderate to high.

Our Ideal Candidate:

Education or Experience:

  • Associate's degree and/or equivalent work experience.
  • At least 2 years' experience within the industry or a closely aligned industry.
  • Experience with billing software and/or the ability to learn new software quickly.

Certificates and Licenses:

  • Valid Class C Driver's License or state(s) equivalent and must be insurable to drive by company standards.

Skills and Abilities:

• Superb people skills and ability to connect with others. • Excellent leadership, time management and organizational skills • Proven excellence as an office administrator or in another relevant position • Outstanding abilities to communicate in person, in writing and over the phone. • Knowledge of Microsoft Office and other office management tools and applications (Outlook, Word, Excel) • Ability to pass background check and drug screen. • Must have strong organizational and time management skills, as well as close attention to detail. • Superior customer service and communication skills (both written and verbal). • Ability to use all necessary office equipment, scanner, facsimile machines, calculators, copiers, etc. • Understanding of invoicing and billing procedures. • Sensitivity to all confidential matters. Exceptionally trustworthy. • Reliable and dependable with strong self-initiative. • Ability to work effectively as a team member and independently, with minimal supervision. • Strong problem-solving skills and good common sense. • Ability to multi-task, work effectively under pressure and time constraints.
