Position Summary
The Sales Inventory Administrator is responsible for ensuring the accuracy and organization of all new and pre-owned vehicle inventory while providing administrative support to the sales management team. This role plays a critical part in the dealership's day-to-day operations by maintaining inventory records, stocking vehicles into the dealership management system, coordinating vehicle merchandising, and supporting sales processes to ensure a seamless customer experience.
The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced automotive environment.
Key Responsibilities
Stock all new and used vehicle inventory into the dealership management system (CDK preferred) in a timely manner.
Verify vehicle invoices, MSOs, and supporting documentation for accuracy.
Maintain accurate inventory records including pricing, vehicle status, options, and location.
Coordinate with Accounting, Sales, Service, and Parts departments to ensure vehicles are ready for sale.
Monitor incoming vehicle shipments and process arrivals promptly.
Update pricing, incentives, and vehicle information across dealership systems and online platforms.
Ensure all vehicles have window stickers, buyer guides, key tags, and required documentation.
Coordinate vehicle photography and online merchandising to maintain an accurate digital inventory.
Assist sales managers with dealer trades, vehicle transfers, and inventory reconciliations.
Track aged inventory and generate reports for sales leadership.
Maintain key inventory and ensure proper vehicle check-in/check-out procedures.
Prepare inventory reports and assist with month-end inventory audits.
Support sales administration by preparing deal jackets and processing required paperwork as needed.
Maintain communication with manufacturers regarding inventory updates and vehicle allocations.
Assist with special projects and administrative duties assigned by dealership leadership.
Qualifications
High school diploma or GED required.
Automotive dealership experience preferred.
Experience with CDK DMS and inventory management systems preferred.
Proficient in Microsoft Office, particularly Excel.
Excellent organizational and time management skills.
Strong attention to detail with a high level of accuracy.
Ability to prioritize multiple tasks in a fast-paced environment.
Professional communication and customer service skills.

Preferred Experience
