We are seeking a highly motivated and organized Office Assistant / Recruiter to support our growing operations. This role combines administrative responsibilities with full-cycle recruiting to help staff projects that the company is bidding on and executing. The ideal candidate is highly organized, technology-savvy, an excellent communicator, and capable of sourcing qualified candidates using multiple online recruiting platforms and databases. The successful candidate will work closely with management to identify staffing needs, source and screen candidates, coordinate interviews, and maintain recruiting records while also providing general office and administrative support.
 
Key Responsibilities
Recruiting & Talent Acquisition
  • Source qualified candidates for technical, professional, and skilled positions using company-provided recruiting platforms including: LinkedIn, ZipRecruiter, Dice etc. 
  • Post and manage job advertisements across multiple platforms.
  • Search resume databases to identify candidates matching job requirements.
  • Contact candidates via phone, email, LinkedIn, and other communication channels.
  • Conduct initial candidate screenings to evaluate qualifications, availability, communication skills, and interest.
  • Schedule interviews between candidates and hiring managers.
  • Maintain regular follow-up with candidates throughout the recruiting and hiring process.
  • Build and maintain a pipeline of qualified candidates for future project opportunities.
  • Maintain accurate recruiting records within company databases and applicant tracking systems.
  • Assist in collecting employment documents and onboarding new hires.
  • Support staffing efforts for multiple concurrent government, commercial, and private-sector projects.
Administrative & Office Support
  • Provide general office administrative support.
  • Maintain electronic and paper filing systems.
  • Prepare reports, spreadsheets, and recruiting status updates.
  • Coordinate calendars, meetings, and interview schedules.
  • Draft professional correspondence and communications.
  • Answer incoming calls and respond to inquiries professionally.
  • Assist with document preparation for proposals and project staffing efforts.
  • Perform data entry and maintain confidential personnel records.
  • Handle additional administrative duties as assigned.
 
Required Qualifications
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Minimum 2 years of recruiting, staffing, office administration, or related experience preferred.
  • Experience using online recruiting tools and resume databases.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and relationship-building abilities.
  • Outstanding organizational and time management skills.
  • Exceptional follow-up and attention to detail.
  • Ability to manage multiple priorities simultaneously.
