The Maintenance Coordinator Supervisor supports the maintenance team by managing purchase orders, preparing inspection documents, coordinating essential building services, and ensuring compliance with city regulations. This role helps keep property operations running smoothly through strong organization and timely follow-up.
Responsibilities include, but are not limited to:
- Create and manage purchase orders for repair materials, maintenance supplies, and appliances.
- Support the Maintenance Coordinator team with purchase orders, inspections and work order tracking, system updates, compliance filings, recordkeeping, and general administrative support for repairs operations.
- Coordinate the ordering and delivery of heating oil for building boilers.
- Maintain purchase order systems, including BJM and PACT Sites PO’s.
- Prepare unit inspection forms in advance of annual building inspections.
- Track and monitor the completion of unit inspections and work orders.
- Oversee and follow up on annual window guard inspections.
- Assist in completing required filings for HPD bed bug certifications and maintain accurate documentation.
- Support APWHPD bed bug filing requirements.
- Maintain and update departmental systems, including Property Meld updates, OLRP/Repair email, and the Super List.
- Keep organized digital and physical files related to repairs, inspections, and compliance.
- Track and report maintenance-related performance metrics as outlined in business agreements.
- Provide administrative support to the Repairs Manager, including communication with vendors, supers, and staff.
- Assist with the coordination of repairs-related projects and departmental tasks as needed.
- Ability to provide support with special projects or providing extra support colleagues as needed.
Required Knowledge, Skills, and Abilities
- Minimum of 1+ years' experience at a fast-paced environment providing support to senior level managers and field staff.
- Strong knowledge of industry processes and regulations.
- Outstanding communication and interpersonal abilities.
- An analytical mindset with excellent organizational skills
- Must be polished, articulate and on-point
- Always maintain a high level of professionalism & discretion
- Excellent time management and organizational skills with the ability to prioritize work
- Must be Proficient and have advanced Excel and PowerPoint skills.
