Executive Assistant I - Rail Operations

Under general supervision, the Executive Assistant I performs a wide variety of administrative, secretarial, and technical duties in support of a Director-level position.

This role manages critical administrative functions, coordinates complex activities, and ensures smooth day-to-day operations by addressing matters that do not require the direct attention of executive leadership.

This is a non-exempt position in salary grade 160: Min $31.39 - Mid $37.29 - Max $43.18/hour. The starting salary will be within this range based on qualifications.

What You'll Do

  • Provide high-level administrative and clerical support to a Director
  • Serve as liaison between executive leadership, agency staff, management, and the public
  • Manage complex calendars, schedule meetings, and coordinate travel arrangements
  • Prepare Board agenda items and supporting materials
  • Draft and edit correspondence, reports, memoranda, and meeting minutes
  • Compile statistical and financial data for reports and special projects
  • Maintain complex filing systems, payroll records, and personnel documentation
  • Review documents for accuracy, compliance, and completeness
  • Assist with budget coordination, monitoring expenditures, and verifying financial information
  • Support Board Agenda Planning and Executive Calendars
  • Plan and coordinate division events, meetings, conferences, and agency activities
  • Conduct research and analysis to support administrative decision-making
