Job description

The Clinic Manager is responsible for oversight of all operational aspects within the assigned clinic(s) with the goals of
providing an optimal patient experience, delivering high quality care, and controlling costs, in alignment with Swope Health (SH)'s Promise, Mission and Key Performance Indicators.

The Clinic Manager is responsible and accountable for patient relations, personnel administration and the clinic's fiscal management. The Clinic Manager serves as a liaison between medical staff and other clinical staff coordinating the day-to-day operation of clinic services. This position works in close collaboration with the Director of Nursing, however, is expected to exhibit initiative and independent action in
accomplishing their job duties.
Primary Functions
Provides leadership in the Clinic and serves as a role model within the organization; Participates in SH meetings, committees, and projects as required;
  1. Supports the key functions of the Clinic as a Patient Centered Medical Home (PCMH).
  2. In partnership with Human Resources, interviews, hires, trains, and evaluates staff;
  3. Mentors and coaches' staff in their professional development and interpersonal relations, developing an effective teamwork approach, in partnership with clinic nursing and/or Director of Nursing;
  4. With the support of the Clinical Nurse Educator, coordinate, provide and document staff trainings, continuing education, competencies and monthly staff meetings;
  5. Approve/deny leave requests and review and approve timecards of direct reports;
  6. Provides oversight using routine audits of support staff performance of required job duties and documentation in the medical record.
  7. Using coaching, progressive corrective action and applying Just Culture principles, addresses staff performance and personal conduct issues in conjunction with the Director of Nursing and documents these actions;
  8. Produce/supervise scheduling and arrange daily assignment of duties for clinic staff to accommodate patient volume and Provider support to maximize service;
  9. Maintain regular and ongoing communication and oversight of clinic staff;
  10. Leads and role models patient experience efforts and communicates with patients who bring forth both complaints and compliments;
  11. Obtain, review, and develop action plans in conjunction with the Director of Nursing with clinic staff from patient feedback surveys;
  12. Participates in the development, monitoring and effective managing of annual operating clinic budget in conjunction with the Director contributing to the financial solvency of SH;
  13. In collaboration with Materials Management and pharmacy, purchase medical supplies, medications and equipment within the scope of the department budget;
  14. Reviews and verifies that medication and supply inventories are accurate and within date;
  15. Communicates any medical staff performance concerns to the Clinic Director, and/or Director of Nursing or Chief Health Officer;
  16. Maintains monthly records and verifies daily, monthly, and yearly medical inventory, logs, and that STAT bags and AED are maintained and checked routinely following manufacturers guidelines.
  17. Manages patient scheduling and wait times for appointments to provide appropriate access to care;
  18. Maintains current knowledge related to applicable statutes, regulations, guidelines and standards necessary to perform job duties in accordance with the requirements of HIPAA, Joint Commission, PCMH, federal, state, and local agency standards and regulations;
  19. Actively participates in performance improvement activities.
  20. Collaborate in the evaluation and selection of medical equipment and arrange for routine equipment servicing and prompt repairs when necessary;
  21. In collaboration with Chief Health Officer and Medical Administration, develops creative strategic plans to provide increased growth & profitability of the clinic;
  22. In collaboration with the Compliance Department, report and investigate incidents, errors, quality of care and patient safety events. Work with staff and medical providers to improve patient safety.
  23. Completes Environmental Protection Agency (EPA) certification on bio hazardous waste and Department of Transportation (DOT) certification on transporting hazardous waste and ensures correct storage and handling of biohazard waste within the clinic setting.
  24. 25 May Supervise the following directly and jointly: RN, LPN, Medical Assistant, CSR and Front Desk Clerk, Social Worker, Community Health Worker, Behavioral Health Consultant.

Education Requirements
RN licensure required. Dual license preferred in MO & KS
Experience & Qualifications
  1. Two years supervisory experience of a clinical setting and understanding the concept of team nursing for delivering care and demonstrating the ability to lead and motivate preferred
  2. Knowledge of healthcare theory and practice.
  3. Knowledge of general policies and procedures in healthcare
  4. Knowledge of best practices in healthcare that produce safe, high quality care
  5. Proficient in the use of MS Office products and experience with Electronic Medical Record systems.
  6. Ability to establish effective working relationships with patients and multi-disciplinary staff.
