Job description


The Administrative Assistant provides comprehensive administrative and clerical support to the Environmental Services (EVS) team/department and management at the Maniilaq Health Association in Kotzebue, AK. The ideal candidate is someone who is highly organized, proactive, detail oriented, excellent communication skills, proficiency in office software, and the ability to manage multiple priorities in a fast-paced environment. This role is crucial in ensuring the smooth and efficient day-to-day operations of the office.
This is a remote, work from home (WFH), position. Preference will be given to candidates living in Anchorage, AK, Kotzebue, AK, or the NANA Region. Work schedule is 8am-5pm, Monday - Friday.
Responsibilities
  • Perform administrative and clerical support for management and field staff.
  • Manage Accounts Receivable (AR) and Accounts Payable (AP) tasks, including invoice processing and data entry.
  • Maintain and update digital and physical records, reports, and documentation.
  • Prepare correspondence, spreadsheets, and presentations using Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Schedule and coordinate meetings, appointments, and communications between departments.
  • Assist with inventory tracking, ordering supplies, and maintaining organized filing systems.
  • Support project coordination by following up on tasks and ensuring timelines are met.
  • Answer phones, respond to emails, and provide excellent customer service to internal and external contacts.
  • Ensure accuracy and attention to detail in all work performed.
  • Other duties that are pertinent to the department or unit's success also may be assigned.

Qualifications
  • Must have a high school diploma or GED equivalent.
  • Must have at least three (3) years of administrative assistant experience in a professional office environment.
  • Must have intermediate proficiency in Microsoft Office Suite applications; Word, Excel, Power Point and Outlook.
  • Must have the ability to type at least 45 words per minute.
  • Must pass a fingerprinting background investigation that complies with The Crime Control Act, Child Care Worker Act and the Indian Child Protection and Family Violence Prevention Act.
  • Contract requires employees to speak, understand, read and write English.

Background Requirement:
An individual is ineligible to work in any position that has Regular Contact with or Control over Children, Dependent Adults or Vulnerable Persons if the individual has been convicted of:
  • One or more felonies and/or two or more misdemeanors of Crimes Against Persons and/or Crimes of Violence.
