This position provides administrative and accounting support to our growing practice areas, and interacts directly with Geosyntec billing and accounting staff, as well as with clients, vendors, and subcontractors, as needed. Essential Duties and Responsibilities
  • Read and interpret contract provisions and set upย accurateย project information in the accounting databaseย in accordance withย contract terms and Company policies, including, but not limited to:ย ย 
  • Review contractual elements provided on project initiation forms: contract value, budget level, scope of services, fee types, paymentย termsย and proper authorization.ย 
  • Verify and/or edit project rate schedules and demographic data provided by project managers.ย ย 
  • Ensureย appropriate mark-ups, taxย componentsย and invoice masks are in-line with contract provisions.ย 
  • Review andย submitย employee expense reportsย in a timely mannerย toย facilitateย payment and processing. Understand the expense reporting process and perform required unit pricing data entry in addition to any necessary corrections.ย ย 
  • Work withย accountingย department toย establishย new unit pricing equipment codes, as necessary.ย ย 
  • Perform electronic timesheet administration procedures and understand the timesheet flow as it relates to labor, classย codesย and project billing.ย ย 
  • Within established deadlines,ย initiateย billing cycle by generating and distributing prebill reports,ย facilitateย edits per the project manager'sย directionย and finalize invoice with all required attachments and documentation. Submit invoices to corporate accounting for posting and to client as instructed by project manager.ย ย 
  • Track accounts receivable and accounts payable as needed for project processing.ย 
  • Assess project revenue by accuratelyย identifyingย variances and making necessary budget changes. Enter percent complete as instructed by project manager or designated employee.ย ย 
  • Complete all tasksย in accordance withย monthlyย accounting closing schedule.ย 
  • Distribute select project management reports to Project Managers.ย ย ย ย 
  • Maintain all documentationย in accordance withย branch and corporate polices; andย 
  • Perform related work asย required.ย 
Skills, Experience and Qualifications
  • Aย high school diploma and six (6) years of experience of progressively responsible experience in project administration, preferably in a professional services firm, an associate degree and four (4) years of experience, or a bachelor's degree in accounting and finance and two (2) years of experience.ย (required)ย 
  • Ability to read andย comprehendย moderately complex instructions,ย contracts and subcontract agreements,ย correspondenceย and memoranda; and ability to effectively write moderately complex correspondence and memoranda. (required)ย 
  • Knowledge of job costing, contract fileย administrationย and comprehension of project revenue. (required)ย 
  • Working knowledge of Microsoft Office andย proficiencyย in Excel. (required)ย 
  • Prior experience with BST,ย Deltek, Wind2ย accounting systems. (preferred)ย 
  • Accurate data entry,ย writingย and editing skills. (required)ย 
  • Ability to work in a fast paced,ย detailย and deadline-oriented environment and manage multiple projects simultaneously. (required)ย 
  • Ability to effectively present information to Project Managers, and other internalย clients. (required)ย 

This opportunity will be posted for at least five days. Below are the potential compensation ranges that we in good faith believe are applicable for this role at the time of this posting and are only applicable for jobs to be performed in the specified location(s) below. The typical base salary range for this position is just one component of Geosyntec's total compensation package for employees. Actual compensation will be determined based on education, experience, skill set and location.

  • Minimum: $32.55/hour / Maximum: $45.58 /hour (MA)
