Campus Location: Alumni House, Marion, IN (Hybrid schedule: 2 days onsite and 3 days remote)
Summary of Position: The Administrative Assistant to the Executive Director of Major & Planned Gifts provides administrative, financial, and organizational support to the Executive Director of Major & Planned Gifts (EDMPG). This part-time position assists with calendar management, donor hospitality, meeting coordination, correspondence, financial administration, donor cultivation, engagement, and stewardship activities, and special projects that support Development's fundraising and stewardship efforts.
The Administrative Assistant serves as a trusted representative of University Advancement while maintaining the highest standards of professionalism, confidentiality, hospitality, and customer service.
Duties and Responsibilities
  • Provide primary administrative support to the Executive Director of Major & Planned Gifts
  • Maintain the EDMPG's calendar and coordinate meetings, travel arrangements, donor visits, and related logistics to support stewardship and donor engagement activities
  • Compose, proofread, edit, and distribute correspondence
  • Prepare meeting agendas, materials, presentations, and minutes as requested
  • Answer phones and assist with donor and constituent communications
  • Provide high-impact hospitality for donors and guests, representing Indiana Wesleyan University with professionalism and excellence
  • Assist with stewardship and engagement activities for donor portfolio, including donor gifts, birthday cards, correspondence, meeting preparation, and follow-up communication
  • Complete purchase card reconciliation and assist with budget tracking, invoice processing, check requests, journal entries, and other financial documentation for the Development team
  • Provide support with donor-related events and engagement activities (i.e. She Gives)
  • Enter contact reports and maintain accurate donor records and data within Advancement's donor database
  • Maintain organized electronic and physical files and records while exercising a high level of confidentiality regarding donor, financial, and University information
  • Provide limited administrative support for Development team members and initiatives as assigned
  • Assist with details for University Advancement meetings, initiatives, and projects as requested by the Executive Assistant to the Vice President for University Advancement
  • Perform other duties as assigned by the EDMPG

Qualifications: According to Indiana Wesleyan University employment policy all employees must possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement.
Education
  • Bachelor's Degree (preferred)

Experience
  • Three to five (3-5) years of experience in an office setting

  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and electronic communications; experience with CRM or donor database systems preferred
