Job description

Overall Responsibility:
The Program Coordinator provides operational, administrative, and project support to ensure the effective implementation, monitoring, and reporting of Food For the Poor's international programs. This role works closely with Implementing Partners (IPs), internal departments, and local stakeholders to support program operations, data collection, reporting, in-kind aid integration, and emergency response activities. The Program Support Coordinator serves as a vital link between field operations and program management, ensuring programs are delivered efficiently, aligned with organizational standards, and responsive to donor requirements.
Duties:
Program & Project Support
  • Assist in drafting and reviewing project status reports and proposals submitted by IPs.
  • Collect, organize, and validate qualitative and quantitative program data.
  • Support monitoring of program implementation, including progress tracking, compliance, and reporting.
  • Assist in the preparation of reports for internal and donor use.
  • Ensure program activities, data reporting, and in-kind aid distribution comply with FFTP policies, donor requirements, and local regulations.
  • Support internal and external audits by maintaining accurate records, documentation, and reporting of project expenditures.
  • Assist in monitoring financial transactions and budget utilization to ensure proper use of funds and adherence to approved project plans.

In-Kind Aid & Resource Support
  • Track distribution of in-kind goods and ensure integration into program activities.
  • Report irregularities or issues with in-kind donations to CPM and relevant departments.
  • Support identification of potential local in-kind aid partners under guidance from CPM.

Angels of Hope Institutions Support
  • Assist in the implementation of programs, infrastructure, and aid distribution within Angels of Hope institutions.
  • Support monitoring and documentation of program outcomes.

Emergency Response & Preparedness Support
  • Assist in coordinating local needs assessments and partner engagement during emergencies.
  • Support real-time documentation, reporting, and coordination for disaster response activities.

Partnership & Donor Support
  • Maintain regular communication with IPs and local partners as directed by CPM.
  • Provide administrative, logistical, and documentation support for donor trips, meetings, and briefings.
  • Assist in preparing contextual updates, briefing materials, and presentations for internal and donor audiences.

General Program Support
  • Provide operational support to ensure smooth program implementation aligned with FFTP priorities.
  • Collaborate with internal teams (Finance, PDR, PQ-MEAL, Purchasing/GIK) to ensure programs meet organizational standards and donor requirements.
  • Support the CPM in any additional program-related tasks as assigned.

Education & Experience:
  • Bachelor's degree in international development, social sciences, or a related field.
  • 2-4 years' experience supporting programs or projects in international development or humanitarian settings.
  • Proven expertise in partner development, monitoring & evaluation, and multi-stakeholder coordination.
  • Proven experience in at least some of the following technical areas: community development, agriculture, health, education, economic empowerment, child sponsorship, food security, and WASH (water, sanitation, and hygiene).
  • Strong organizational, communication, and coordination skills.
  • Ability to collect, verify, and summarize data accurately.
  • Fluency in English and Spanish; additional local languages preferred.
  • Willingness to travel as needed to support programs and field activities.
  • Requirement: Valid passport with the necessary travel visa.
