Job description
The Adjunct Instructor provides instruction and academic support for Continuing & Professional Studies (CAPS) courses in accordance with University standards for teaching excellence. This position is responsible for course preparation and delivery, student engagement, assessment of learning, timely communication and feedback, and effective use of instructional technologies. The Adjunct Instructor maintains compliance with University policies, accreditation requirements, and applicable regulations while collaborating with academic leadership, instructional designers, and student support professionals to foster student success and continuous improvement in teaching and learning.
Job Description
Primary Duties & Responsibilities:
- Email Communication: Your WashU email is the University's primary form of communication. Regularly check your WashU email for important communications and respond to requests promptly. All correspondence with students must occur via WashU email accounts.
- Syllabus Submission: Submit your class syllabus via Simple Syllabus at least two weeks before the first day of class or within seven days of executing this agreement.
- Instructor Training Requirements: Complete all CAPS instructor training requirements, including but not limited to CAPS Foundations, Online Instructor Training, and the Course Design Institute (if required). The CAPS Curriculum Committee or CAPS administrators may require completion of the CAPS Course Design Institute. Training courses must be successfully completed within four weeks from the start of the course.
This appointment also includes the responsibility to complete periodic training and/or orientation with respect to laws, policies, programs, or systems (e.g., annual anti-harassment training and Code of Conduct certification).
- Course Preparation: Complete course preparations for students no later than one week before the start of class.

- The instructor will build out the course in Canvas, complete with 1-2 weeks of course content, one week before the course is scheduled to begin.
- Publish the course for student viewing one week before the course begins.

- The course should be prepared in accordance with CAPS policies, including those in the Online Teaching Manual for online and hybrid courses.
- All courses must utilize the following Canvas course features: Announcements, Syllabus, Grades, Assignments, Modules.
- Office Hours / Meetings: Instructors are expected to hold office hours one hour per week, in-person or via Zoom, to meet individual student needs.
- Instructional responsibilities:

- Textbook Selection: Contact CAPSFacultySupport@wustl.edu to submit textbook selections in a timely manner or confirm that no books will be required for your course.
- Class Schedule: Courses will meet in accordance with the published course listing.
- Class Schedule Change: If a class will not meet as scheduled, it is your responsibility to notify CAPS and each student in the class. If an otherwise regularly scheduled class is cancelled, it must be clearly indicated how those contact hours are to be replaced.
- Instructor Absence: If you are unable to teach a class, notify the Vice Dean as soon as possible and provide an approved substitute instructor or a make-up session.
- Grading and Grade Submission: Grade, provide feedback for student submissions, and post student grades in the Canvas gradebook within 7 days after the assignment due date. Submit midterm and final grades in Workday by the deadline established by the Registrar for each semester.
- Attendance Verification: All faculty are required to check attendance at both the first and second class meetings and provide verification that the roster is correct. For fully online, asynchronous courses, "attendance" can be checked via student activity and participation in Canvas.
- Gradebook Updates: Use the Canvas Gradebook to record course assignment grades within 7 days of submission. All course grades must be recorded in the Canvas Gradebook and made visible to students. Student submissions must be made via Canvas and not via email.
- Academic Integrity: Instructors are responsible for maintaining academic integrity in their courses and must report any violations of the University's academic integrity policies to the Vice Dean for appropriate action. Instructors must have a stated Artificial Intelligence (AI) policy consistent with CAPS AI policy.
- Course Adjustments: If adjustments to the course schedule, content, or delivery are needed, instructors are expected to work with the Vice Dean to ensure consistency with program objectives and accreditation requirements.
- Communication with Students: Instructors are expected to respond to student inquiries within 48 hours during the workweek and within 72 hours on weekends, when possible. All email communication must occur through University email accounts.
- Professional Conduct: Instructors are expected to demonstrate professional conduct and maintain the highest standards of integrity and fairness in interactions with students, faculty, and staff, consistent with University policies.
- Collaboration with Student Success Navigators: Collaborate with Student Success Navigators to identify and refer students who are struggling academically (e.g., missed assignments, low grades, lack of participation).
- Meetings: Attend at least one bi-annual meeting as scheduled by the Vice Dean, Dean, Directors, Coordinators, and Instructional Design staff.
- University Policies: Comply with all applicable University policies and procedures, including FERPA.
- Course Evaluations: Instructors will encourage students to complete course evaluations at the midterm and end of the term and may use feedback to improve future course offerings.
- Accommodations: Instructors are required to provide reasonable accommodations for students with disabilities, in accordance with University policy. Please work with Disability Resources for guidance.
