Summary
The Student Records & VA Compliance Coordinator, reporting to the Associate Registrar for Registration and Scheduling, Oversees the retrieval, analysis, and interpretation of student record data to verify eligibility for veteran education benefits and ensure compliance with VA regulations. Manages the VA Annual Reporting Fee within the office budget and develops recommendations for its strategic use. Leads the campus-wide automated student cancellation and withdrawal workflow and oversees the processing of associated registration changes in the student information system, including the accurate assessment and encoding of tuition and fee refunds. Coordinates and analyzes student course drop activity to ensure appropriate application of tuition and fee refund policies. The position provides oversight of a wide range of academic record maintenance processes, including code of conduct suspensions and expulsions, study abroad, concurrent enrollment, accelerated and advanced undergraduate status, academic standing and reinstatements, academic forgiveness, credit by examination, prior learning assessment, and credit by validation. Interprets institutional, academic, and regulatory policies and advises administrators and staff to ensure data integrity and compliance. This position researches complex student record issues, resolves discrepancies, and recommends solutions consistent with academic and departmental policies.
Essential Functions
  • Coordinates and oversees the retrieval of data from student files to certify benefits for veteran students. Maintain records and processes documents into Enrollment Manager for GI benefits. Manages VA Annual Reporting Fees:
  • Manages the mechanized student cancellation and withdrawal data process campus wide. Corresponds daily and provides explanations and advice and works closely with campus offices.
  • Coordinates the analysis of student dropped classes and encoding tuition and fee refunds. Processes late changes to student registrations
  • Manages process requirements for military call up procedures, code of conduct suspension/dismissal, study abroad, concurrent enrollment, accelerated students, other. Interprets & informs office administrators and other employees regarding data integrity & processes. Maintains documentation, reports and other records for the office.
  • Supports and aids in the end of term grade run and the official batch process during end-of-term processing in which final grades are validated, posted to the student information system, and used to calculate term and cumulative academic metrics.
  • Helps manage post end-of-term processing. These activities include updating missing or incorrect grade submission, processing retake course grades, GPA and academic standing re-calculation, transcript updates, enrollment status changes, and compliance reporting.
  • Supports and maintains registration related system setup term-to-term.
  • Performs other duties as assigned.

Minimum Qualifications
The following Degree is required:
  • Bachelor's Degree
The following Experience is required:
  • 2 years of experience in an administrative office
The following Experience is preferred:
  • 2 years student supervision experience
  • Familiarity with processes related to higher education
